Reporting to the Manager of Health Safety and Security the successful candidate will be responsible for supporting the activities of the Health Safety and Security department and its day-to-day operation.
The successful applicant for this Educational Support Staff position Level E will work 35 hours per week12 months per year effective as soon as possible.
Hours of Work: 8:30 am - 4:00 pm (with a 1/2 hour unpaid lunch break)
Responsibilities:
- Provide administrative support to the Health Safety and Security team (in both Health & Safety & Security);
- Provide administrative support for employee online training mandatory health and safety training in the D2L system (i.e. loading courses assigning staff pulling records etc).
- Assist with daily administrative duties in the eBase system (i.e Employee Incident Reporting Workplace Inspections other forms) including review of forms for completion pulling records and developing reports for Manager/Officers;
- Maintain (in an orderly system) and assist with health and safety documentation (i.e. department files fire safety plans emergency binders monthly workplace inspection reports personal protective equipment inventory google drives for department and Joint Health and Safety Committee and other H&S committees as required);
- Work with the respective HSS Officer to make arrangements for and coordinate first aid training and other training sessions as assigned including set-up document prep setting up attendance introductions monitoring course registrations and inputting/pulling training records;
- Assist with health and safety budget invoicing quotes purchase orders working in K212;
- Inputting training records as needed and pulling training record reports in D2L and IPPS;
- Arrange for the purchase and distribution of personal protective equipment (PPE) requirement to maintain in-stock inventory and invoicing;
- Assisting with the maintenance of the online Material Safety Data Sheet system and various chemical inventories from school sites;
- Update and maintain Health Safety & Security website as directed;
- Assist with Security administrative tasks (assistance with security card access requests and changes Photo ID scheduling vendors contractors working with Facility Services updating/reviewing Security documentation daily activities related to Security Card System and AFX software)
- Participate in Education Centre workplace inspections as needed;
- Complete monthly inspection and restocking of first aid stations at the Education Centre and ensure Education Centre Health and Safety Bulletin Board is up to date;
- Cross train with the HR assistant- Security and assist as needed;
- Carry out ad hoc research projects as assigned;
- Maintain confidentiality in all aspects of the position; and
- Other duties as assigned by the Manager/Officers.
Qualifications:
- A Secondary School Graduation Diploma is required;
- Preference will be given to candidates with related health and safety work experience and/or post-secondary education in Health and Safety or Human Resources;
- Computer knowledge and/or experience to include but not be limited to IPPS (or equivalent) K212/BAS Park Lane (or equivalent) and Application Server (or equivalent) is required.
- Good working knowledge and experience in Microsoft Office (Excel and Word) is required;
- Working experience with Google Suites platform (i.e. Gmail Drive) is required;
- Must demonstrate problem solving analytical thinking and proven commitment to customer service in a demanding and fast-paced environment;
- Proven ability to be flexible and multi-task have excellent organizational prioritization and time management skills;
- Ability to take and transcribe concise minutes;
- Working knowledge of WordPress is an asset;
- Ability to complete assigned duties with minimal supervision and to communicate effectively in both oral and written form;
- Proven ability to provide assistance in emergency or difficult situations;
- Proven ability to maintain a high level of confidentiality and diplomacy;
- Ability to work collaboratively as a member of the Health Safety and Security team and work independently.
- Excellent interpersonal skills for communication with administrators staff and the public; and
- Experience with and knowledge of board health and safety policies/procedures and Occupational Health and Safety Act would be an asset.
