General Schedule:
8am - 5pm Monday - Friday with occasional evenings.
Position Overview:
The Administrative Assistant II provides comprehensive secretarial and administrative support to the TRIO Pre-College Programs. This role plays a key part in ensuring the smooth operation of the office and all Pre-College TRIO programs. Under the direction of the TRIO Pre-College Operations Manager and in close coordination with the Office Business Manager the Administrative Assistant II upholds office protocols and procedures contributing to the overall efficiency and professionalism of the department.
This position is grant funded. Continuation of this position is dependent upon grant funding.
Department Specific Essential Job Functions:
Ensure consistent office coverage including opening and closing the office during business hours.
Supervise the TRIO Office Computer Lab to maintain a productive and supportive environment for students and staff.
Serve as the first point of contact by answering and directing phone calls greeting visitors and guiding them to the appropriate personnel.
Create and manage requisitions for all TRIO departments; assist with staff and group travel arrangements.
Coordinate scheduling of meetings and room reservations for TRIO personnel.
Maintain the departmental calendar manage appointments and support event planning including setting up for awards ceremonies and other special events.
From time to time assist program staff with presentations including preparation of materials and logistical support.
Collaborate with the Office Business Manager to ensure compliance with administrative procedures and financial protocols.
Perform additional duties assigned to support the mission and goals of the TRIO Pre-College Programs.
Qualifications/Experience Required:
Requires general education or vocational training and 3 years relevant experience in chosen field or equivalent combination of education and experience. Strong organizational and multitasking skills. Proficient in Microsoft Office 365.
Qualifications/Experience Preferred:
Fluent in Spanish. Previous work experience as an administrative assistant. Requires general education or vocational training and 3 years relevant experience in chosen field or equivalent combination of education and experience.
Knowledge/Skills/Abilities:
Able to perform routine tasks. Possesses basic skill sets with the level of proficiency required to perform the work adequately. Escalates complex issues to senior-level personnel. Demonstrates a warm and caring professional attitude. Effective communication skills. Ability to work well with the public. Must be self-motivated to work as a team.
