About the opportunity

Reporting to the Executive Officer the Executive Assistant provides high-level confidential administrative support to the CEO managing a range of tasks and serving as a key liaison with internal and external stakeholders to ensure seamless operations.

Tasks and Responsibilities

  • Assist the Executive Officer in delivering exceptional support to the CEO ensuring efficient and effective executive operations with the ability to manage multiple tasks.
  • Manage the CEOs complex and dynamic calendar scheduling and negotiating appointments meetings and preparing relevant briefing materials and documentation.
  • Coordinate and facilitate executive meetings (internal and external) by preparing agendas taking confidential minutes and tracking follow-up actions.
  • Provide administrative support for the CEOs involvement in external NT/National Boards and Committees.
  • Draft and prepare high quality correspondence briefing packs reports and papers as directed by the Executive Officer.
  • Confidential correspondence including typing formatting and editing documents with precision and discretion.
  • Maintain secure organised and accessible systems for reports records and documentation.
  • Act as the point of contact for the CEO prioritising and managing access effectively

Essential Criteria

  • Minimum 3 years experience providing high-level administrative support to a CEO or senior executive
  • Certificate IV in Business Administration or similar relevant qualification or equivalent experience.
  • Demonstrated ability to handle highly confidential and sensitive matters with discretion and professionalism.
  • Strong communication and liaison skills with the ability to engage effectively with internal and external stakeholders at all levels.
  • Exceptional interpersonal skills maintaining professionalism diplomacy and tact with excellent written and verbal communication abilities.
  • Superior organisational skills with strong attention to detail time management and the ability to prioritise competing tasks and meet deadlines.
  • Ability to build and maintain productive relationships working collaboratively in a team and independently with stakeholders at all levels.
  • Advanced proficiency in Microsoft Office Suite.
  • Current Ochre Card Criminal History Check NT Drivers Licence and NDIS Worker Screening Clearance
