Job Title:Accounts Payable SpecialistLocation:Business OfficeJob Group:Non-Union Support StaffPay Level:Non-Exempt Pay Grade 21Reports To:Senior Accounting Manager Summary: We are seeking a detail-oriented and highly organized Accounts Payable Specialist to join our team. The ideal candidate will thrive in a fast-paced environment and possess excellent organizational and multitasking skills necessary to manage a high volume of accounts payable transactions. This role requires accuracy efficiency and a commitment to maintaining strong internal controls. Essential Duties and Responsibilities: Other duties may be for the Accounts Payable functions: Process a high volume of authorized purchase orders and invoices ensuring timely and accurate entry into the financial system. Prepare verify and distribute checks for payments; ensure timely disbursement of funds. Maintain and organize records by filing paid invoices and supporting vendor invoices and statements; resolve discrepancies in coordination with vendors and internal invoices related to bond-related expenses ensuring compliance with applicable vendor files including but not limited to: contact information policy or account numbers and general processing procedures. Responds to vendor inquiry regarding monthly vendor statements to payments and follows up on outstanding accurate organized filing system of paid and unpaid invoices and purchase vendor files and ensures that all necessary W-9 forms are current and on for assigned projects including but not limited to:Preparing annual 1099 documents and related schedules for IRS fixed asset inventory by keeping copies of invoices for all new purchases that will be added to the annual fixed asset in the compilation of information for the annual current payment and renewal of the Chittenden County Solid Waste (CCSW) of pre-school technology upgrades and -training with other positions in the Business perform other bookkeeping responsibilities such as but not limited to perform other duties as Responsibilities: The ability to work in a collaborative team environment is essential to the employees successful job performance. The ability to perform duties with awareness of all District requirements and School Board policies is essential. Regular attendance in accordance with the established work schedule is Requirements: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Two or more years accounting/bookkeeping experience desired. Ability to effectively speak with individuals or before Skills: Ability to calculate figures and amounts such as discounts interest commissions proportions percentages area circumference and volume. Ability to apply concepts of basic Skills: Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Demonstrated ability to deal with problems involving several concrete variables in standardized situations is Skills and Abilities: Demonstrated proficiency with technology and the use of the internet word processing and excel. Effective organizational and time management skills and the demonstrated ability to manage multiple tasks are required. The ability to communicate clearly and concisely both orally and in writing is essential. Demonstrated high attention to detail and accuracy. Ability to maintain confidentiality and exercise discretion in handling sensitive financial information. Ability to perform duties with awareness of all District requirements and School Board policies as it relates to the job responsibilities is essential.
