Job Summary:

The Arizona Attorney Generals Office Civil Litigation Division/Consumer Protection and Advocacy Section is seeking a Legal Administrative Assistant to provide administrative support to the Civil Litigation Division as well as legal secretary support to positions throughout the Consumer Protection and Advocacy Section.

Remote Options: This position may be eligible for Remote Work two days a week.

Job Duties:

This position will prepare a variety of complex correspondence accounting and legal forms. Independently answers inquiries from consumers court personnel and others for the Consumer Protection and Advocacy Section. Processes mail schedules appointments arranges travel organizes files for record retention and handles a large volume of copying scanning and filing.

Answers a variety of inquiries concerning the progress of legal actions and advises regarding proper procedures. Maintains follow-up records relating to legal matters. Receives and screens a variety of correspondence visitors and telephone calls.

This position assists the Civil Litigation Division Administrative Unit with various and numerous special projects. Provides back-up assistance as needed for the Consumer Protection and Advocacy Section receptionist.

Knowledge Skills & Abilities (KSAs):

*Knowledge of general office practices and procedures.
*Knowledge of general office equipment including fax copier and scanner.
*The principles concepts practices methods and techniques common to a law office.
*Understanding of the attorney/client relationship including the need for confidentiality and discretion.
*Must have knowledge of various computer programs including but not limited to Outlook MS Word MS Excel and Adobe Acrobat.
*Typing 60 wpm.
*Interpersonal relationships.
*Managing and handling a heavy work load under pressure with multiple deadlines.
*Skill in routine correspondence with proper formatting.
*Skill in composing various complex legal correspondence.
*Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
*Ability to organize prioritize and perform varied tasks and track multiple deadlines simultaneously.
*Ability to compose correspondence and to assist attorneys in organization of material and preparing for trial.
*Must be able to use tact and diplomacy in dealing with other agency employees and high-level public officials.
*Must be able to handle a high volume of work and stressful situations.
*Ability to maintain confidentiality.
*Ability to adapt to changing priorities.
*Word processing and transcribing skills.
*Skill in time management with attention to detail.
*Skill in written and verbal communication.

Selective Preference(s):

Minimum of two years professional office experience and proficient use of Microsoft Office. Ideal candidate will have a minimum of one year of secretarial experience preferably in a law office.

Pre-Employment Requirements:

Travel may be required for this position. A valid Arizona Drivers License is required along with consent to have your driving record run periodically.
