Philanthropy Coordinator
APA! BACKGROUND: Austin Pets Alive! (APA!) is one of Austins most dynamic and best-loved nonprofits. The organization is the leader in the no kill movement nationally and is considered a national thought leader in animal welfare. APA! locally rescues treats and adopts out 10000 homeless dogs and cats each year providing the safety net for Austins most at-risk shelter pets which helps Austin to be a no-kill city while also assisting other communities in saving homeless animals. The organization is distinguished by the scrappiness of its grassroots non-traditional community-based animal rescue work.
The organization continues to innovate best practices to save lives and teaches its renowned lifesaving model through American Pets Alive! APA!s national division. In 2020 AmPA! began the Human Animal Support Services (HASS) project a collaborative movement of more than 10000 animal welfare professionals working in nearly 1900 organizations. HASS is the first-of-its-kind collective of shelters and animal welfare professionals coming together to build community-focused animal services that better meet the needs of people and pets by keeping human-animal families together and keeping pets unnecessarily out of shelters.
BRIEF POSITION SUMMARY/OVERVIEW: The Philanthropy Coordinator position at Austin Pets Alive! plays a vital role in supporting APA!s mission. This position is ideal for someone interested in a career in nonprofit development who is eager to work with a vibrant team learn about the varied aspects of fundraising and be the first point of contact for many of APA!s supporters. The Philanthropy Coordinator oversees our Kennel Sponsorship and Tribute programs encourages on-site giving by visitors to APA!s campuses and is responsible for stewarding new donors to the organization. The Coordinator also works closely with the Philanthropy Data Entry Specialist to maintain accurate donor records enter gifts and recognize and thank supporters.
ESSENTIAL FUNCTIONS:
- Grow implement and oversee all aspects of APA!s kennel sponsorship program managing a portfolio of kennel sponsors and supporting the growth of revenue in this area through creative and impactful stewardship and renewals
- Oversee tribute giving including campaign planning stewardship of donors through mail phone and/or in-person
- Oversee new donor stewardship in coordination with Director of Individual Giving including welcoming and engaging with new donors through mail phone email and/or in-person; work with other team members to thank and update donors
- Serve as the face of donor relations at APA!s main campus (Town Lake Animal Center) welcoming the community and helping them to understand the needs of APA! and the animals we serve with an aim to encourage monetary and in-kind donations. Connect community members with other MarCom/Philanthropy staff as appropriate and engage with individuals to see how they would most like to support our organization
- Create and implement in collaboration with the Director of Individual Giving Senior Director of Philanthropy and Communications and Director of Strategic Customer Service strategies to encourage and increase on-site giving by visitors to APA!s campuses. Utilize A/B testing whenever possible to see what influences visitor behaviors and giving through cash QR codes spay/neuter deposit donations and other methods
- Serve as the secondary expert in our donor CRM supporting the Philanthropy Data Entry Specialist as needed to ensure that all gifts and constituent data are entered with a high degree of accuracy including online gifts checks cash and in-kind donations of supplies
- Recruit train and manage philanthropy volunteers who complete stewardship activities attend events as representatives of the organization and other tasks that engage our supporters
- Manage the donate@ and partnerships@ email inboxes responding to public inquiries regarding monetary and in-kind donations requests for support and other fundraising related matters
- Coordinate team stewardship supply needs working with the Accounting team to order inventory
- Design write and send acknowledgment letters for all tax-deductible donations
- Assist in planning and attending donor engagement events tours and gatherings and support mass stewardship during high traffic campaigns through text-a-thons mass emails and high volume of phone calls as needed
- Job duties may include some or all of the above and other duties as assigned by manager

- Attend and participate in all required training sessions and meetings
- Maintain open and consistent communication with Program Manager or designee supervisor and other colleagues
- Able to work in a high-volume fast-paced high-stress environment
- Able to react to change productively and perform other duties as assigned.
REQUIRED QUALIFICATIONS:
- 1-2 years of work experience or substantial experience as an intern in fundraising marketing nonprofit management or a related field required. Bonus points for fast-paced high-volume customer service or similarly forward-facing roles
- Attention to detail and good time- and project-management. Ability to stay well-organized in a fast-paced environment with varied responsibilities and deadlines
- Proficiency in Google Suite and/or Microsoft Excel and Word. Experience with databases/CRMs and managing data a plus
- Strong written and verbal communication with a flair for saying thank you often and well
- Ability to produce well-designed letters emails and other donor stewardship materials with photos graphics and stories; experience with Canva or similar tool
- A warm and welcoming personality with a desire to work directly with our many supporters and collaboratively with other staff and volunteers.

- Daily on-site hours at APA!s main TLAC campus as well as hours at APA!s other Austin area campuses and offsite/remote. The schedule for these days will be determined in collaboration with the Director of Individual Giving
PHYSICAL JOB REQUIREMENTS:
- Must be able to sit in front of a computer for prolonged periods
- Must be able to routinely lift 40-50 pounds
- Must be able to work around animals (including diseased injured and/or potentially aggressive animals) loud noises and inclement weather.

WORK ENVIRONMENT:
- Standard office environment with exposure to environmental conditions that include working with and near animals
- Uses own transportation to travel and transport
- Work is normally performed inside; some outside work is required
- Rapid pace with exposure to potential hazards including animal waste disinfectants and high levels of noise
- Potential for animal bites and scratches and diseases that can be transmitted from animals to people
- Occasional after-hours or weekend work may be required to support program needs
TIME COMMITMENT:
- This is a full-time exempt position with an average of 40 hours per week.
- Shift and schedule flexibility is required as weekly schedule is subject to change
- Able to work evenings weekends and holidays as needed
WORKING RELATIONSHIPS: This position reports directly to Director of Philanthropy Individual Giving or another individual designated by APA!.
