Job Summary:
We seek a highly motivated energetic and technically savvy Digital Workflow Coordinator to join our global remote team. This pivotal hands-on role is crucial for optimizing our various business workflows initially with a focus on supporting the sales team and with the potential to support the firm more broadly. You will identify inefficiencies leverage existing and new technology solutions to streamline operations and enhance the effective use of our entire tech stack.
The ideal candidate will be a proactive problem-solver with a natural curiosity for technology eager to explore and apply new tools to optimize workflows and connect systems for smoother operations. A strong aptitude for learning new software quickly a meticulous eye for detail and a passion for using technology to drive business success within a distributed team-oriented environment are essential. You should be excellent at troubleshooting and enjoy working with data.
Key Responsibilities:
- Process Analysis & Optimization: Actively analyze existing operational workflows to identify inefficiencies and bottlenecks. Recommend and implement tech-enabled solutions to streamline and optimize these processes.
- Technology & Tool Management: Evaluate implement configure and maintain diverse operational tools (e.g. CRM marketing platforms project management systems data enrichment tools) to create a seamless high-performance ecosystem.
- System Integration Support: Assist in connecting various software tools and platforms to improve data flow and operational efficiency utilizing accessible integration platforms like Zapier Make (formerly Integromat) or similar tools.
- Data Analysis & Reporting: Apply excellent analytical skills to work with operational data build and maintain dashboards and generate reports that track key performance indicators (KPIs) to provide actionable insights for continuous optimization.
- Technical Troubleshooting & Support: Serve as a primary point of contact for troubleshooting technical issues related to operational tools and integrated systems. Provide expert support to the entire sales team and potentially other departments across the firm.
- Innovation & AI Mindset: Proactively identify and assist in resolving operational challenges with scalable tech-forward solutions. Demonstrate an embrace of AI and its potential application in workflows analytics or operations to transform business processes.
- Collaboration & Communication: Embrace working in a collaborative team environment communicating clearly and effectively with both technical and non-technical audiences to ensure solutions are well-aligned and well-executed.
Qualifications:
- Bachelors degree in Business Computer Science Information Technology Operations or a related field.
- 3-8 years of experience in business operations sales support marketing operations or a similar role with a strong focus on software utilization and process improvement.
- Demonstrated technical aptitude and curiosity: A genuine interest in how technology works and a passion for finding and applying new software solutions to improve processes.
- Excellent analytical skills with a strong affinity for working with data interpreting trends and drawing actionable insights.
- Excellent communication skills (written and verbal English) to effectively collaborate with a global team and across different time zones.
- Good troubleshooting skills with a methodical approach to identifying and resolving technical issues.
- Experience or strong familiarity with common business software (e.g. CRM systems like HubSpot/Salesforce marketing automation tools project management software).
- Experience with or a strong interest in using accessible integration platforms like Zapier Make or similar tools.
- Ideally (nice to have): Familiarity with sales business development or client service and support processes.
- Nice to have: Familiarity with Python for light scripting or data manipulation.
