POSITION SUMMARY

The Periop Administrative Coordinator provides administrative support services ensures confidentiality and efficient conduct of business through the office supporting for the Chief Department of Anesthesiology Fellow/Resident and Undergraduate Coordinators of the Department of Anesthesiology and members of the Department. This position provides support and a liaison function with the University of Ottawa and associated teaching hospitals on issues relating to the Department. This includes development of relationships continuous prioritization of work and handling of internal and external requests.

Main Responsibilities

  • Overall administrative support/office functions for the Chief of Anesthesia (CoA) Fellow and Resident coordinators of the Department of Anesthesiology including drafting agendas and minutes maintaining an effective filing system coordination of meeting dates reporting on and managing trust accounts effectively dealing with business correspondence booking travel arrangements and meeting registrations.
  • Maintains calendars composes letters and e-mails processes documents assists with presentations and reports for the Department Chief and members.
  • Effectively responds to urgent situations if departmental Chief or delegate is not available
  • Functions as a resource for Departmental members and external members in relation to information from the Department of Anesthesiology office.
  • Ensures familiarity with University policies in order to meet documentation and licensing requirements
  • Maintains manuals informational pamphlets and other Departmental information.
  • Participates in other activities as required.
  • Maintains and monitors a work plan for the CoA objectives aligned to the hospitals strategic directions.
  • Understands and anticipates the priorities and needs of the CoA and provides support materials advice and resets priorities or schedules appropriately.
  • Prepares reports presentations and other materials as required for CoA for various audiences included departmental team executive team and board committees.
  • Coordinates special projects as required.
  • Acts as a liaison maintains open lines of communication and positive relationships with internal and external key contacts.
  • Schedules meetings tracks items for agendas monitors workplan prepares agendas and coordinates materials for distribution for various committees and special events as assigned.
  • Attends meetings records discussions and prepare minutes following meetings.
  • Arranges education conference registrations travel and other logistics. Prepares expense reports as required.
  • Bring to the attention of the Medical Director/Manager any issues related to performance of support staff.
  • Be aware of Collective Agreements between different Unions
  • Support the Medical Director/Manager with human resources processes for new CHEO staff and medical staff including recruitment hiring orientation onboarding workstation/office setup hospital privilege application and renewal. Collaborating with the University when appropriate.
  • Research retrieve summarize and/or analyse information and/or material as assigned on specified topics by surfing the web CHEONet reviewing literature journals and/or publications etc.
  • Photocopy collate fax and distribute documents. Proofread documents for grammar and spelling.
  • Reconcile accounts monthly and provide month-end activity reports as needed
  • Prepare annual departmental annual report
  • Prepare documentation for expense requests professional development travel claims including ensuring all relevant signatures are obtained
  • Establish develop and maintain various internal office support systems such as electronic databases tracking systems filing systems monthly reports BF systems and confidential files.
  • Supervise the ordering of office supplies as required
  • May take the lead role in the planning of local national and/or international conferences/events by booking venue scheduling /maintain speakers ordering catering audio visual equipment registration etc.

QUALIFICATIONS

  • Criminal Record Check (CRC) (Essential)
  • College Diploma in Office Administration and/or University Degree. (Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements.) (Essential)
  • Approximately three (3) years of relevant experience including experience in a more responsible administrative assistant role including office management functions and/or previous supervisory experience. (Essential)
  • Comprehensively use software including word processing spreadsheet presentation electronic mail (Essential)
  • Take accurate notes or minutes of meetings and transcribe to final product (Essential)
  • Use a voicemail system photocopier fax machine and shredder (Essential)
  • Take steps to ensure timely completion of tasks by adjusting priorities as required (Essential)
  • Adapt to changes to meet organizational requirements. (Essential)
  • Communicate effectively and concisely both orally and in writing. (Essential)
  • Deal effectively with internal and external customers (Essential)
  • Exercise sound judgement discretion and a high degree of confidentiality (Essential)
  • Bilingualism (French / English) (Preferred)
  • Knowledge of medical terminology (Preferred)

Effective March 29 2021 CHEO will conduct a more comprehensive pre-screening and evaluation process. This process may include more varied and multidimensional testing such as a written test practical exam or other assessment. All candidates who meet the essential and preferred qualifications may be tested.

Le coordonnateur administratif des services pri-opratoires fournit des services de soutien administratif assure la confidentialit et lefficacit des activits par lentremise du bureau qui appuie le chef du service danesthsiologie les boursiers/rsidents et les coordonnateurs de premier cycle du service danesthsiologie et les membres du service. Le ou la titulaire du poste offre un soutien et assure la liaison avec lUniversit dOttawa et les hpitaux denseignement associs sur des questions relatives au service. Cela comprend ltablissement de relations la priorisation continue du travail et le traitement des demandes internes et externes.
