Job Description

PRIMARY PURPOSE: The Administrative Coordinator is the primary front desk contact at the Perot Family Campus providing administrative support and service to internal and external customers. This position is responsible for welcoming visitors in person or on the phone and directing inquiries appropriately.


MINIMUM QUALIFICATIONS:


Education:

Associates degree in business or related field or an equivalent combination of education and work experience


Special Knowledge/Skills/Abilities:

Familiar with Microsoft Office products (Excel Word PowerPoint Outlook and Teams)

Exceptional interpersonal verbal and written communication skills

Strong focus on client satisfaction and customer-centric aptitude; maintains professionalism in all interactions

Ability to work independently and manage competing priorities; detail-oriented empathetic self-motivated problem solver and a team player

Bilingual (English/Spanish)


Experience:

Three years of relevant administrative experience in a front desk setting preferred


PRINCIPLE DUTIES AND RESPONSIBILITIES:

Open and close lobby/reception area ensuring accessibility during business hours

Greet all guests with a friendly and engaging demeanor

Answer telephone calls and provide callers with company information referrals to local food pantries or transfer to another associate as applicable

Coordinate with various departments to update information pertaining to all programs and provide updated materials for neighbors i.e. SNAP CSFP CPR and Philanthropy

Assist walk-in guests seeking food assistance with referrals to local food pantries

Provide visitors with necessary guidance information security badge and safety vest as appropriate; keep apprised of all internal and external events

Ensure safety of the lobby by having all guests sign in and display a visitors badge

Maintain security by appropriately reacting to all incoming guests and notify appropriate parties of any suspicious persons or behavior

Process incoming mail and coordinate distribution of packages

Perform clerical and administrative duties such as scanning photocopying filing organizing and data entry support as needed

Accept monetary donations and provide receipts

Manage and route emails from the mailbox to appropriate parties

Assist with ordering general office supplies

Assist with maintaining and updating necessary standard operating procedure documents

Assist with conference room set up

Perform other tasks and duties as assigned


MENTAL DEMANDS:

The person in this position is regularly required to use written oral and listening communication skills analyze and solve problems learn and apply new skills and information.

The person in this position needs to adapt well in the face of workplace stressors such as customer complaints compliance offenses competing priorities and maintaining the safety of people and property.


PHYSICAL DEMANDS:

The individual will be subjected to prolonged sitting.

While performing the duties of this job the employee is frequently required to stand; walk; sit; use hands to finger handle or feel objects tools or controls; reach with hands and arms; climb stairs; balance; stoop kneel crouch or crawl; talk or hear.

Specific vision abilities required by the job include close vision distance vision color vision peripheral vision depth perception and the ability to adjust focus.

Ability to regularly lift and/or move up to 25 pounds


ENVIRONMENTAL FACTORS:

Moderate noise (i.e. business office with open floor plan with computers phone and printers light traffic).

Flexibility to work on occasional Saturdays is required.
