The Inventory Control Specialist (ICS) is responsible for procuring medications and supplies from appropriate sources and ensuring proper storage to maintain their quality and integrity. The ICS under the supervision of a licensed pharmacist performs inventory management activities that ensure adequate stocks of medications purchasing contract compliance effective cost management and compliance with laws and regulations.

ACCOUNTABILITIES

*All duties listed below are essential unless noted otherwise*

Maintains the inventory at an appropriate level while at the same time keeping proper stock levels on hand for dispensing. Manages existing inventory to reduce waste. Coordinates the annual physical inventory of all products stocked in the pharmacy.

Reviews usage and velocity reports and establishes order quantities/par levels for ordering of pharmacy items.

Completes inventory/formulary worksheets for all items added or deleted from pharmacy inventory for entry into the computer system.

Communicates all new product information and product availability information to the department and organizes this information in a manner such that it is readily available.

Arranges appointments with pharmaceutical service representatives regarding information of a technical nature (i.e. manufacturer outages product recalls credited merchandise etc.).

Processes items for return and assures that the hospital receives the proper credit. Prepares requisitions for purchase to ensure hospital shipping orders are generated.

Maintains the buy and sell log. Completes requisitions for purchase for these transactions and forwards them to purchasing department. Coordinates sales to ProMedica business units and licensed area healthcare facilities. Ensures and documents compliance with all state and federal requirements surrounding inventory control.

Collects data for inclusion into the departmental monthly reports.

Reviews current inventory systems and makes recommendations for enhancement of the current system. Assists in developing goals policies and procedures relative to area of responsibility. Focuses on problem prevention identification and solution. Collects and summarizes inventory control statistics for the productivity monitoring system.

Collaborates with other health care professionals in meeting departmental goals. Establishes and maintains mechanisms for communication and constructive problem solving with staff. Utilizes a team approach in decision-making and problem solving. Build trust and mutual respects.

As applicable understands the 340B program and works to maintain compliance with regulations surrounding the program. Reports savings metrics to director/manager and works with system to maximize opportunity.

Performs pharmacy technician duties as outlined in job description as needed.

Performs all duties and responsibilities in an ethical and responsible manner.

Supports the department in participating in the vision for its direction and embraces the change process to achieve the vision.

Fosters the culture of patient safety by using the error prevention techniques.

Communicates effectively orally and in writing within department as well as to all external customers. Demonstrates effective interpersonal skills.

Must be able to input and retrieve information from computer.

Coaches and facilitates the growth and development of employees within the department.



Requirements

REQUIRED QUALIFICATIONS

  • Education: High School diploma or equivalent
  • License: Pharmacy Technician License
  • Certification: Certified Pharmacy Technician (as required by state law)

PREFERRED QUALIFICATIONS

  • Education: Bachelors degree
  • Years of Experience: Experience in purchasing and inventory control preferred. Previous experience in pharmacy desired.

WORKING CONDITIONS

  • Physical Demands: Must be able to lift light materials. Non-material handling of continuous sitting and reaching; frequent standing; occasional squatting kneeling walking and stairs. Must be able to move about and between workstations.
