Profile Requirements:
- Proven Experience in Creative or Media Environments: Minimum 2.5-5 years managing operations or project workflows in a media agency production studio or similar creative business.
- Proven AI Systems Experience (2 Yrs): Minimum 2 years hands-on experience implementing AI-powered business tools or no-code automations (e.g. Relevance AI Make Zapier custom GPTs). Able to build agents from scratch and customize use cases for media production workflows.
- Process-Oriented Mindset: Strong ability to build refine and roll out systems that enhance team coordination scalability and client delivery.
- Proactive Leadership & Initiative: Self-starter with high agency who takes ownership without needing step-by-step instructions; able to move ideas forward independently.
- Team Management Experience: Background in managing operations for remote or offshore teams ensuring accountability and high performance through structured oversight.
- Advanced Technical Competence & Innovation Mindset: Confident designing operational stacks using no-code platforms and AI APIs. Demonstrated ability to evaluate new tools test integrations and create custom workflows tailored to a growing creative agency.
Core responsibilities:
- Architect SOPs & Systems Infrastructure: Lead the strategic design and implementation of scalable SOPs internal systems and operational infrastructure; grounded in agency best practices and AI-powered efficiency.
- AI System Implementation & Prompt Engineering: Lead the adoption of AI tools and systems to optimize internal processes; create and manage custom GPTs bespoke prompt libraries and agent workflows using platforms like Relevance AI Make and n8n. Stay up to date on no-code/low-code solutions and translate emerging tech into practical applications.
- Project & Workflow Coordination: Oversee day-to-day task execution and maintain visibility across client timelines ensuring all deliverables are progressing smoothly and efficiently.
- Operational Efficiency Optimization: Identify bottlenecks in current systems propose data-backed solutions and take ownership of process upgrades without waiting for direction.
- Cross-Functional Support: Liaise with creatives editors and leadership to ensure all systems (from content delivery to invoicing) are running cleanly and consistently.
- Internal AI Enablement & Strategy Development: Build internal capability by training team members on AI tools and developing frameworks for applying automation across client delivery lead capture and media operations.
