Job Description

The Program Manager of Day Services provides program monitoring and oversight for a mental health day services program.  The Program Manager plays a multifaceted role combining administrative operational and leadership responsibilities. Their primary goal is to ensure the smooth and effective operation of the program while providing high-quality care and support to participants and staff.

PRINCIPAL ACCOUNTABILITIES:

  • Acts as the primary contact for referrals to the day program.  Ensure that all clients are seen within Mental Health Rehabilitation Services (MHRS) timeframes.
  • Coordinates intakes for the day program including meeting with new referrals and obtaining required documentation for authorization prior to the clients start.
  • Provides oversight and coordination of client transportation needs to and from the Program.
  • Participates in the hiring process for Mental Health Specialists and other Day Services roles.  
  • Ensures timely submission of Individualized Recovery Plans (IRP) every 180 days.
  • Acts as the administrative supervisor of the programs staff and ensure that administrative supervision for each applicable direct report occurs semi-monthly. Ensures administrative supervision documentation is maintained accordingly.
  • Works collaboratively with the Core Service Agency (CSA) staff especially in regard to psychiatric symptom management and primary care coordination.
  • Coordinates the weekly group schedule.
  • Ensures all group notes must be submitted by 3:00 PM on the same day services are rendered and approved by the close of business the following business day.
  • Conducts individual meetings as necessary with clients family members significant others other agencys staff members etc.
  • Participates in performance improvement monitoring and evaluation.
  • Writes performance improvement plans for indicators that do not meet threshold ensuring that all outcome indicators are met.
  • Assists in the reauthorization of day services including gathering required documents from the CSAs including IRPs Clinical Summaries coordinating diagnostic updates and submitting the authorization request in SharePoint. Also works closely with the billing/authorization staff in ensuring all clients have an active authorization.
  • Facilitates groups as needed.
  • Meets with other community providers to market the Day Program.
  • Ensures the programs needs are met by tracking monitoring and initiating the order or replacement of all supplies and food.
  • Actively participates in and supports Day Services related fundraising events and community activities contributing to the programs visibility and resource development.
  • Maintains the confidentiality of clients at all times and operates within the Code of Ethics of the United States Psychiatric Rehabilitation Association.
  • Develops familiarity with Joint Commission Medicaid and Department of Behavioral Health (DBH) standards and compliance requirements and assists as needed in maintaining Joint Commission Medicaid compliance and DBH.
  • May perform other duties as assigned.

SPECIALIZED KNOWLEDGE AND SKILLS REQUIREMENTS:

 

  • Ability to coordinate with a multi-disciplinary team within an outpatient mental health agency.
  • Experience in program design and implementation in a nonprofit or clinical setting.
  • Knowledge of sound ethical clinical practice and principles related to the care of mental health clients.
  • A superior communicator who shares information readily and concisely listens as well as gives advice and respects the abilities of others.
  • Excellent written and verbal communication skills.
  • Excellent computer skills including operating Microsoft Office Suite programs.
  • Knowledge and ability to navigate an Electronic Medical Record (EMR) including data entry.
  • Ability to relate to adults diagnosed with serious and persistent mental illness using knowledge of concepts principles and theories related to mental health and mental illness.
  • Ability to perform amicably in an environment serving the seriously and persistently mentally ill adult population.
  • Ability to respect and uphold client confidentiality.

Ability to exhibit a high level of organizational skills and able to prioritize and multi-task without direct supervision.


Qualifications :

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelors degree in a social science or related field required.
  • Licensed in the District of Columbia as a LICSW or LPC preferred.
  • At least two (2) years of experience working with individuals who have mental health diagnoses.
  • Possess a minimum of one (1) year of experience facilitating group activities and social services.
  • Able to coordinate with a multi-disciplinary team. 

Physical Demands: The position requires moderate physical effort on a daily basis such as walking bending stooping and standing for periods of time.
