Summary:
We are seeking an experienced Legal Assistant to provide comprehensive administrative support to our Corporate Group and Leadership Team. The ideal candidate will be a proactive business-minded individual skilled in managing multiple priorities maintaining confidentiality and adapting to dynamic work environments. This role presents an exciting opportunity to support both client and leadership team needs ensuring efficiency and accuracy while contributing to the firms success.

This full-time position is scheduled Monday to Friday from 8:00 am to 4:00 pm with occasional adjustments to hours based on coverage needs and pre-authorized overtime when required.

Key responsibilities include but are not limited to:

Responsibilities:

Executive Support

  • Provide direct administrative support to the Calgary Office Managing Partner (OMP) Department Managers and the Leadership Team coordinating activities events and facilitate communication among team members while maintaining strict confidentiality.
  • Demonstrate a keen understanding of internal and external organizational dynamics effectively managing relationships and communications to support executive priorities. Exhibit a high degree of deference and tact in interactions with stakeholders at all levels.
  • Manage calendars schedule appointments and meetings and coordinate travel arrangements as required.
  • Assist with photocopying materials booking meeting rooms and ensuring timely delivery of documents and materials to meet client needs in collaboration with other internal departments.
  • Support and respond to client inquiries promptly following up as necessary and keeping the OMP and Leadership Team informed of interactions during their absence.

Documentation and Correspondence

  • Draft prepare and proofread correspondence accounts and various documents with a high level of accuracy and attention to detail.
  • Enter and maintain lawyer dockets coordinating with the Accounting Department when needed and assist with detailed billing and firm trust processes.
  • Open maintain and close client files following firm protocols for knowledge management and ensuring proper file closures and reporting of any outstanding requirements.
  • Process incoming and outgoing mail manage email accounts and track bring-forwards as required.

File and Records Management

  • Maintain client/matter lists and update current client contact records and notices.
  • Organize and maintain both electronic and physical files in an efficient manner ensuring all documents are up-to-date and accessible.

Team Support and Coordination

  • Demonstrate a team-oriented approach by supporting colleagues and covering absences as necessary.
  • Assist with the preparation and update of cheque requisitions expense reports and other related administrative duties.

Additional Duties

  • Perform other duties as assigned by the OMP Department Managers or Leadership Team.

Requirements:

  • Post-secondary education in business or a related discipline. A Legal Administration Diploma is preferred.
  • A minimum of five (5) to seven (7) years of legal assistant experience in relevant practice areas.
  • Proficiency in Microsoft Office applications and other related software.
  • Knowledge of accounting/docketing systems and data management tools (e.g. iManage).
  • Strong interpersonal and communication skills both verbal and written with a professional client and telephone manner.
  • Exceptional organizational and follow-up skills with a keen eye for detail proofreading and accuracy.
  • Strong problem-solving skills and the ability to work independently demonstrating internal motivation and minimal supervision.
  • Ability to produce high-quality work within tight deadlines while managing multiple priorities.
  • High level of competency in maintaining confidentiality and handling sensitive information with discretion ensuring compliance with privacy regulations and Firm policies.
  • Strong teamwork orientation with a willingness to assist others and contribute to collaborative work efforts.
  • Experience in providing support to new team members including mentorship during the onboarding process.
  • Capable of working effectively under pressure taking initiative and exercising sound judgment.
