Title: Administrative Assistant/Bookkeeper
Schedule: 8 hours per day / 215 days per year
Reports to: Building Principal
Purpose and Objectives of the Position: The Administrative Assistant/Bookkeeper will maintain the financial books and accounts of the buildings activity fund to ensure accurate accounting of receipts and disbursements. To accomplish these tasks the Administrative Assistant/Bookkeeper must work closely with the staff and administration of the district.
Essential Job Functions:
I. Accounting:
- Maintain complete and systematic records of activity fund financial transactions according to established procedures and generally accepted accounting principles.
- Perform all accounting operations necessary for the smooth operation of the building.
- Collect account and maintain records of student fees.
- Prepare and account for all money generated in school-sponsored activities including receipt of cash and preparing and making cash deposits.
- Prepare cash boxes for all athletic events and for other clubs as needed.
- Issue purchase orders and checks for activity fund accounts.
- Reconcile activity fund account bank statement.
- Prepare appropriate financial reports for the Central Office as well as prepare a monthly activity report for club sponsors.
- Prepare State sales tax report and remit sales tax to the Kansas Department of Revenue on a timely basis.
- Collect insufficient funds checks by phone letter or referral to the Central Office.
- Close out the fiscal year and deliver all essential records to the Central Office for audit.
II. Miscellaneous:
- Assist with other building-level secretarial duties necessary for the smooth operation of the office/building.
- Ability to implement the vision and mission of the school district.
- Ability to perform other tasks and assume other responsibilities as directed by the Principal.
Knowledge Skills and Abilities Required:
- High School diploma or equivalent.
- Experience as a Secretary with customer service skills.
- Proficient typing word processing proofreading and file maintenance skills.
- Effective organizational communication and interpersonal skills.
- Ability to use computer and software to develop spreadsheets and databases.
- Ability to use printer copier fax machine and calculator.
- Knowledge of accounting principles and practices.
- Ability to work with numbers in an accurate and expedient manner to meet established deadlines.
- Ability to communicate and work effectively and cooperatively with staff members of the school district and community.
- Ability to work to implement the vision and mission of the school district.
- Ability to observe and follow all school district policies at all times.
- Ability to react to change and frequent interruptions in a productive and positive manner meeting deadlines as assigned.
- Ability to implement and follow all district health and safety policies including all precautions of the Bloodborne Pathogens Exposure Control Plan.
- Must verify good health by passing a physical examination which includes TB and drug test as required.
- Other duties as assigned by building principal.
- Desire to continue career improvement by enhancing skills and job performance.
- Ability to keep student and personnel information and records confidential.
Terms of Employment: At Will. Salary to be established by the Board.
