Role Description:

The purpose of the role is to be accountable for the Workplace services provided in all German offices including contract and service management of outsourced Workplace suppliers. The Workplace team ensures all our offices provide a welcoming physical space to meet connect and collaborate with each other and our clients as well as meet our responsibilities for health and safety and sustainability.

The Workplace Operations Manager will report to the European Workplace Operations Manager

Role responsibility:

GENERAL Key Accountabilities:

  • Act as the Workplace Manager for the Arcadis office cluster in Germany managing the in-country Workplace team in various locations to deliver an efficient and high-quality service to all internal clients and guests.
  • Responsible for the contract management of the outsourced Workplace suppliers for all German offices to ensure all relevant standards and KPIs are met including carrying out audits where applicable.
  • Responsible for budget setting approval of outsourced costs reforecasting and management.
  • Leading moves and integration of workspaces.
  • Prepare submission to the works council on matters related to workplaces.
  • Responsible for liaison with site leads to ensure standards of service delivery are understood and met and provision of regular reporting.
  • Responsible for liaison with SHEQ to ensure agreed Workplace Health and Safety and Sustainability responsibilities are met.
  • Responsible for ensuring Workplace standards are reviewed and updated as applicable.
  • Contribute to any relevant Workplace projects
  • Coordination of Workplace communications and Intranet site
  • Provision of local support for Workplace Digital solutions including supporting AV.

TACTICAL Key Accountabilities:

  • Responsible for escalating issues that need additional stakeholder involvement and monitoring progress and swift resolution.
  • Responsible for obtaining required approval on recommendations including presenting recommendations to the Global Workplace Operations Director.

Key Shared Accountabilities:

  • Delivering the Workplace Promise consistently within the portfolio
  • Assistance in delivering agreed objectives specific to the Global Workplace

Qualifications & Experience:

An individual with experience in managing a portfolio of offices with budget responsibility and participation in the implementation of Workplace processes.

  • Significant experience in Workplace operations and Facilities Management.
  • Experience in managing moves and integrations of offices will be an added advantage.
  • Professional certification from IFMA or equivalent working experience will be preferred.
  • Managing the delivery of services by outsourced suppliers as well as a team of site leads and administrators.
  • Experienced in Workplace Budget and resource management.
  • Skilled in actively delivering and improving Workplace service through the review of performance.
  • Effective interaction with key stakeholders
  • A focus on customer service and the ability to communicate with the global team.
