Job Overview:A private household in Hawaii is seeking a top-tier Executive Personal Assistant (EPA) to support their personal and professional lifestyle. The Executive Personal Assistant will work closely with Mrs. providing dedicated support with her day-to-day scheduling travel logistics errands and high-level coordination. The EPA will report to and assist the Executive Domestic Facilities Manager (EDFM) and collaborate with the fully staffed household to ensure smooth and efficient operations.

You will begin most days at the familys dedicated office in downtown Honolulu where youll receive daily direction review communications and organize the days priorities. From there youll transition into supporting Mrs. with errands appointments and various tasks around the island. This role requires someone who is comfortable multitasking staying productive on the go and working from a laptop or phone in the car while waiting during appointments. Its a dynamic mix of administrative precision and in-the-field support perfect for someone who thrives in both environments.
Key Responsibilities:
Manage complex personal and professional calendars appointments and travel itineraries.
Advocate for the clients at all times ensuring their safety comfort and dignity; for example managing transportation thoughtfully and never placing clients in uncomfortable or inappropriate situations.
Coordinate communications filter emails screen calls and prioritize tasks.
Travel in advance to vet accommodations and ensure all client preferences are met.
Run errands shop (online/in-person) process returns buy gifts and plan special events.
Drive clients to appointments the airport and events ensuring safe professional transport.
Liaise with the household staff vendors and service providers to ensure seamless operations.
Attend appointments and work remotely from the car when needed.
Maintain digital and physical filing systems and oversee inventory with the EDFM.
Uphold strict confidentiality and represent the family with poise and professionalism.
Follow the 3-day rule for completing assigned tasks.
Requirements:
5 years in a similar role within a high-profile or ultra-high-net-worth household.
Bachelors degree or equivalent experience; relevant certifications a plus.
Tech-savvy (Microsoft Office Apple products QuickBooks Signal/ProtonMail).
Professional confident and etiquette-aware (knows how to open doors anticipate needs etc.).
Must be a non-smoker fragrance-free (client has severe asthma).
Valid drivers license and clean driving record.
Ability to lift up to 40 lbs and manage travel logistics.
Must be able to work from the Honolulu office and travel interisland and to the mainland (e.g. Florida).
Calm resourceful organized joyful and can-do personality.
