We are looking for a dynamic Administrative Analyst to join our team. The Administrative Analyst will support the daily office operations in an office associated with the Office of the Under Secretary of Defense for Policy (OUSD(P)). This role requires a proactive highly organized and resourceful individual who can efficiently manage administrative functions coordinate records and correspondence and oversee office security and access processes. The Administrative Analyst will support smooth day-to-day operations across the office of a senior-level DoD official facilitating critical administrative processes and ensuring alignment with agency standards and procedures.

This position is based onsite daily at one of several high-profile offices across the National Capital Region.

This position is contingent on a government award.

Responsibilities:

  • Manage and oversee allcorrespondence and records managementtasks for the assigned office including logging reviewing distributing and monitoring all incoming/outgoing materials and FOIA requests via CATMS.
  • Assist and manage scheduling and calendar deconfliction including daybook assembly visitor coordination and resolution of scheduling issues across senior-level offices.
  • Assist in the oversight of security-related processesincluding building access information system access and Common Access Card (CAC) requests.
  • Ensure all office operations align withDoD protocols administrative guidelines and quality standards.
  • Assist in the oversight of inventory management office supply ordering and physical space coordination ensuring smooth day-to-day operations.
  • Support records compliance disposition schedules and coordination with the OUSD(P) Executive Secretariat on official records management requirements.

Requirements:

  • Active DoD Top Secret (TS) clearance with SCI eligibilityat time of application is required.
  • Bachelors or Associates degreefrom an accredited institution is lieu of a bachelors/ associate degree eight (8) years of experience providing Executive Administrative Support to senior DoD military or federal executives may be substituted.
  • Minimum of six (6) yearsof experience providing Executive Administrative Support to senior leaders in the DoD military or federal government.
  • Demonstrated familiarity withcorrespondence/task management systemssuch as CATMS TMT or ETMS2.
  • Proficiency inMicrosoft Office Suite(Outlook Word Excel PowerPoint) andSharePoint.
  • Experience withDoD scheduling calendar management and coordination of senior leader engagements.
  • Familiarity with DoD travel systems and regulations including DTS APACS and Foreign Clearance Guide compliance.
  • Familiarity with DoD security procedures including clearance processing and physical access protocols.
  • Excellent organizational communication and interpersonal skills with the ability to work under pressure and manage shifting priorities.

CATHEXIS offers competitive compensation packages to all eligible employees. The annual salary range for this role is $110000 - $150000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer including location qualifications experience and skills.
