Your Role:
The Recruiting Coordinator (RC) works closely with a team of recruiters to help enable the recruiting organizations hiring activity and process excellence. The RC is an integral partner in supporting recruiting and pre-employment activities and manages interactions both internally and externally to ensure positive candidate experience. The RCs work closely with recruiting management to deliver accurate reporting and system audits as well process a high volume of HCM and ATS activities. They interface with multiple teams (e.g. HR Operations Recruiting Compensation HRBPs hiring managers) to ensure data accuracy and systems process workflows move forward smoothly and quickly. They manage projects to ensure RC operations are executed efficiently and in compliance.
RCs report directly to HR Operations but are aligned to Recruiting Teams. RCs are crossed trained to be able to provide immediate support for other teams as needed with a focus is around positive candidate experience. They align to the business units that their team supports understanding their teams respective hiring plans and recruitment activities but keep processes as consistent as possible to enable load balancing/back-up and onboarding new hires. This means creating common standards that improve efficiency and deliver world-class candidate experience while remaining flexible to support the different business units/regions and changing priorities.
Your Opportunity:
- Schedule and coordinate candidate interviews including travel arrangements as needed.
- Host candidates while on-site ensuring a positive experience for the candidates and interviewing teams
- Interact with candidate and hiring managers and field questions independently throughout the process ensuring high levels of candidate satisfaction and overall positive candidate experience
- Lead recruiting event planning (e.g. open houses job fair participation) and coordination of interview day sprints (e.g. finals day format)
- Create and maintain a series of reports used to measure the completion and success of tasks throughout the recruitment process
- Deliver reporting and analytics in the recruitment process including but not limited to: Referral Bonus Tracker and Auditing Requisition Audits Equity Report Sales OTE Report New Hire Onboarding Tracker
- Maintain a catalog of all global offers and works with HR Ops and Legal to ensure alignment with all regulations and update offer letters and employee agreements accordingly
- Responsible for the RSU Side Letter process for offers outside the US
- Create/define common standards that improve efficiency and deliver a world-class candidate experience while remaining flexible to support the different business units/regions and changing priorities
- Act as a super-user for our ATS including posting and updating job requisitions updating candidate statuses tracking recruiting activities and ensuring accurate data within the system. Initiate HR process for position and requisition creation maintaining accurate in appropriate HR Information systems and independently troubleshooting data issues
- Facilitate background check process and review information contained in the final report for policy adherence and guidelines. Notified management of any screening that are overdue or not in compliance
- Support pre-employment activities and the transition to HR for onboarding
- Review and audit new hire details (job profile compensation hiring manager supervisory organization) as they pass from the JobVite system to Workday
- Audit employee referral program details in Workday and JobVite
- Maintain files and documentation on candidates to ensure compliance
Assist with immigration paperwork and maintain files needed to support federal guidelines - When to escalate candidate issues or problems to HR Operations Manager Senior Director or Recruiter
May perform other duties and responsibilities that management may deem necessary from time to time
What Youll Need:
- 2-4 years of coordination or administrative support experience
- Working experience with Applicant Tracking Systems preferred
- Strong verbal and written communication skills
- Strong calendar management skills
- Superb attention to detail problem solving and organizational skills
- Customer-facing experience with ability to independently address questions and requests
- Ability to work in a fast paced quickly changing environment
- Experience in creating and maintaining reports with accuracy
- Process excellence mentality with ability to articulate and help drive process improvements
- Work experience within Human Resources or Talent Acquisition preferred
- Ability to sit and work at a computer for extended periods of time
- Physically able to participate in training sessions presentations and meetings
This is the base pay range for this position. Compensation for the role will depend on a number of factors including the candidates qualifications skills competencies location and experience and may fall outside of the range shown. Employees are also eligible for variable compensation in addition to base pay (commission for sales roles bonus for non-sales roles) depending on company and individual performance. $27.16 - $36.14 USD
