EXECUTIVE ASSISTANT SUPERINTENDENTS OF EDUCATION
Full-time Permanent
Non-union position

Reporting to and under the direction of the Superintendents of Education this position plays a key role in providing administrative support in the efficient operation of the offices of the Superintendents of Education.
Duties and Responsibilities:
- Perform administrative and clerical services for the Superintendents of Education working in a fast-paced professional workplace including: reception duties; scheduling and organizing meetings and appointments; assistance with the preparation of agendas/minutes correspondence presentations and reports.
- Respond to direct enquiries and sensitive issues and provide assistance to school staff students parents and community organizations in accordance with established Board procedures and guidelines and act as a liaison between the superintendents office and internal and external stakeholders.
- Facilitate effective and collaborative communication between internal departments schools parents communities and external agencies by responding to and making inquiries independently.
- Coordinate and support the Superintendents with recruitment processes in collaboration with our Human Resources Department.
- Design/maintain statistical databases for the Superintendents and prepare timely and accurate reports/documents.
- Research policies reports and other information and prepare summaries and/or special statistical reports as required.
- Work collaboratively across the Central Board Office departments to provide administrative support.
- Assist with monitoring department budgets.
- Play a lead role in the organization of system events (e.g. professional development sessions meetings events etc.).
- Perform other related duties as assigned by the Superintendents of Education.
Qualifications:
- Excellent understanding of Catholic Education and the system vision and commitment to student learning.
- Post-Secondary graduate with a diploma in Administrative Studies.
- Minimum of 5 years of experience in an Administrative Assistant role.
- Proficiency in Microsoft Office Suite (including Word Excel Outlook PowerPoint) SharePoint and Google Suite and experience working with web-based business and office applications.
- Initiative to remain current with changing technologies tools and practices used in a modernized 21st century office environment.
- Demonstrated professional ethics a high degree of initiative independence and good judgment.
- Proven ability to maintain discretion with confidential information.
- Exceptional problem solving conflict resolution time management and organizational skills.
- Superior interpersonal analytical oral and written communication skills.
- Working knowledge of relevant policies and legislation (e.g. Freedom of Information and Protection of Privacy Act Education Act) would be an asset.
- Ability to work evening hours as needed.
- A valid drivers license and own vehicle is an asset.
