Job Description

The Greater Birmingham Humane Society (the GBHS) is a progressive animal welfare shelter whose mission is to rescue rehabilitate and rehome homeless abused neglected and abandoned animals. Our mission is always has been and will be to promote the humane treatment of people and animals through education advocacy and services.

General Function

The Receptionist is responsible for providing front-line customer service and administrative support in a fast-paced high-volume spay and neuter clinic. This role involves compassionate communication efficient coordination of intake and discharge and consistent attention to detail. Excellent customer service and a strong commitment to animal welfare are critical.

Primary Duties & Responsibilities


  • Perform reception and clerical tasks including filing copying preparing documents sorting mailing and answering phones.
  • Interact daily with veterinarians veterinary assistants student externs transport coordinator volunteers the general public and rescue partners.
  • Courteously greet people and ensure a calm professional and efficient check-in/check-out experience for services.
  • Ensure security and flow of clients and animals within the clinic environment.
  • Accurately input information into the clinics software or practice management system.
  • Maintain orderly and organized front desk lobby and public-facing clinic spaces.
  • Respond promptly to phone email and in-person inquiries with polite and accurate information.
  • Screen and forward incoming calls appropriately ensuring messages are properly documented with date time name and contact information.
  • Schedule appointments and provide support to clinic staff in organizing daily surgery flow.
  • Receive and sort daily mail deliveries and in-kind donations maintaining appropriate records.
  • Provide administrative backup to operations and veterinary teams as needed.
  • Maintain awareness of animal welfare best practices particularly related to high-volume sterilization clinics.
  • Stay informed on trends policies and innovations in veterinary client services and communicate relevant updates to the team.
  • Perform other duties as assigned by the clinics management team.

Qualifications


  • High school diploma or GED required.
  • Previous experience in veterinary medical or animal care reception preferred.
  • Basic understanding of animal welfare and spay/neuter protocols.
  • Proficient with basic computer operations; knowledge of shelter or veterinary software is a plus.
  • Available to work evenings or weekends based on clinic needs.
  • Valid drivers license and access to reliable transportation
  • Must meet all the general employment criteria outlined in the GBHS employee handbook.

Physical Requirements

  • Ability to lift and carry a minimum of 25 pounds and up to 75 pounds with reasonable accommodation
  • Ability to stoop bend lift clean mop and other such assigned duties with ease and in a timely fashion.
  • Frequent standing walking bending and reaching during shift.
  • Prolonged periods of sitting while working at a computer or front desk.
  • Manual dexterity to operate computers phones and other standard office equipment.
  • Ability to assist in handling animals during check-in or emergencies if needed.
  • Must be able to hear and speak clearly to communicate with clients in person and over the phone.

Work Environment

This work is performed in a high noise level area. Exposure to industrial cleaning chemicals fumes dust animal feces zoonotic (human to animal) diseases bites and scratches. Safety procedures must be adhered to at all times. Must be able to work with and around animals of all types (cats dogs rabbits birds etc.). Exposure to conditions such as animal feces urine etc. and foul odors. May be exposed to animal dander parasites and infectious diseases that can be carried and transmitted by animals. Must be able to work in an environment that provides humane euthanasia to animals.
