Essential Functions
Administrative Fiscal Duties Work with the Vice Provost for Academic Operations and the Academic Financial Support Services Manager to develop implement maintain and/or modify manual and automated fiscal reporting/tracking systems for budget spending. Review fiscal records and assist in formulating corrections as needed. Analyze modify and recommend improvements in fiscal recordkeeping systems; apply knowledge of accounts and program relationships data flow audit trails and internal controls to design and implement financial data systems. Prepare compile and provide specialized fiscal reports and queries such as budget projection status and auditing reports and position-based budgeting using Banner finance and other tools; provide reports to public service center and program directors business service personnel and academic budget leadership. Work with the Academic Financial Support Services Manager to oversee the completion of all grants reimbursement and travel expenditures throughout the division including auditing and communicating with other offices to correct mistakes. Build and revise forms for structured data-collection including requests for resources from Academic faculty student allocations student employees honoraria and student employment records. Personnel Develop and verify faculty salaries for payroll for all academic quarters based on salary grids experience levels faculty load per diem and overpayments; communicate with faculty regarding allocated salary and pay. Perform personnel data entry and data transformation for existing and new software systems such as Axiom Banner Teams and Academic Catalog systems. Review and inform personnel tracking tables outlining funding sources supporting faculty and staff salary and benefits charges as needed. Review and track budget transfers for personnel and other expenses to ensure compliance with funding source restrictions and to help inform public service center program and academic budget leaders. Office Duties Provide public service center staff with necessary training and current procedure or protocol documents to support fiscal administrative training (e.g. reimbursements travel and other related fiscal administrative duties). Work with other Academic Budget and Business Services staff to ensure effective stewardship of funding resources including grants. May provide project support to Deans and Provost areas as assigned. Other duties as assigned.
