Job Responsibilities

Real Property Services Coordinator
The Department of Administrations Division of Facilities Management and Property Services (DFMPS) is seeking an experienced Real Property Services Coordinator to join the team! Real Property Services (RPS)provides centralized real estate services either for or from a state agency. In this role you will provide administrative support to the RPS Manager executive leadership of DFMPS and attorneys providing support to Real Property Services. Gather information pertinent to real property transactions and applications. Process easement real property disposal/sale and annexation requests. Address and investigate any other related real property matters as required.

Responsibilities of the Real Property Services Coordinator:
  • Evaluate and process easement requests annexation requests and other requests concerning State-owned real property to be granted by the State.
  • Oversee the disposal process of State-owned surplus real property. Coordinate requests from agencies that own real property to approve sales of real estate property under contract.
  • Communicate with agencies to gather necessary information to advertise real property to be sold. Correspond with the public concerning any interest in surplus real property available for sale. Liaise with Brokerage Firm as needed.
  • Assist in drafting and/or proofreading legal documents such as deeds easements bid packages for real property to be sold letters and other documents. Request appraisals or other supporting documents when needed.
  • Create maintain and organize easement files files concerning real property sales legal files and spreadsheets.
  • Collect and compile data for the Statewide Annual Property Survey including State-owned Land inventory State-owned Building inventory and Agency Disposition Evaluation Model worksheets to identify surplus/not fully utilized state-owned space ensuring data integrity and timely collection.
  • Process county property tax bills that contain fees for state-owned property and disseminate to appropriate agency ensuring payment and proper handling.
  • Perform other duties to assist management and other work units as necessary including but not limited to disaster assistance.

Minimum and Additional Requirements

A bachelors degree or relevant experience may substitute for the bachelors degree on a year-for-year basis.

Additional Requirements:

  • Display strong organizational and customer service skills.
  • Possess the ability to communicate effectively and concisely both in writing and orally.
  • Display a high attention to detail.
  • Must be computer literate (ex. via deed searches tax maps Microsoft Office etc.)
  • Basic knowledge of State laws regulations policies and procedures relevant to real property sales easements and annexations will be required to carry out role successfully but can be learned on-the job if needed.
  • Skills and ability may be gained by a combination of education and experience.

Please note that some areas of the Department may require anofficial certified copy of the transcriptprior to hiring or within a specific timeframe required by that area after hiring. Failure to produce an official certified transcript may result in not being hired or termination.

Preferred Qualifications

  • Real estate or paralegal experience is preferred.
  • Research experience/skills is preferred.
