The Richmond Behavioral Health Authority is seeking a Program Coordinator to join our Developmental Services Team! The successful candidate will perform intermediate skilled administrative support work providing a high level of administrative support office coordination to Developmental Services (DS) Division which includes planning monitoring and coordinating various programs activities and staff; maintaining records and files; preparing reports; maintaining accurate and timely fiscal and client data; and related work as apparent or assigned. Work is performed under the limited supervision of the assigned supervisor. Essential Functions - Provides administrative support to the entire DS Division.
- Works collaboratively with COO DS Director Managers Supervisors and office associates.
- Uses intermediate accounting skills to review Divisions financial reports monthly and reconcile with Divisions expenditure reports. Identifies any discrepancies and works with Finance Department to resolve.
- Ensures accuracy and validity of information to comply with statutory obligations.
- Assists Managers with monthly Medicaid billing including reconciliation of billable/non-billable clients and maintaining monthly billable lists.
- Develops and maintains complex spreadsheets in order to track Divisions fiscal expenditures and other relevant data. Collects and compiles data to prepare monthly reports. Reviews for trends variations and provides summary of changes monthly to COO.
- Prepare Timesheets and collects Leave Slips for DS Administration staff.
- Ensures accurate inventory of office and medical supplies.
- Monitors unit maintenance as needed including domestic machines as well as printer/fax/scanner.
- Uses a variety of web-based portals for varied work tasks.
- Prepares and submits fiscal and data reports as required ensuring compliance of all State and Federal Regulations.
- Verifies purchases / invoices for approval.
- Takes minutes for division meetings as required.
- Prepares and verifies biweekly payroll forms for Directors submission to Finance.
- Retrieves and distributes paychecks and paystubs to appropriate staff.
- Provides oversight to other admin positions; assigning work tasks providing oversight to ensure completion.
- Creates marketing items for DS Division and programs as needed including brochures presentations and displays.
- Ensures that division data is maintained accurately at all times; includes position control documents staff contact lists TEAMs management email distribution list management and office assignments.
- Provides training for other administrative staff on various software packages; troubleshoots hardware software and office equipment issues within assigned division.
- Performs special projects as assigned.
- Verifies that paper documentation has been successfully uploaded to the appropriate EHR when assigned.
- Coordinates professional trainings and makes travel arrangements.
- Assist with orientation of new hires such as setting up desk ensuring parking pass assignment providing office supplies.
- Review and update Unit policies for program development in collaboration with COO and program leadership as assigned.
