Key Responsibilities:
- Managing the calendar - scheduling meetings appointments and travel arrangements.
- Answering phone calls taking messages and directing inquiries appropriately.
- Preparing reports and documents as needed.
- Handling confidential client information with discretion.
- Coordinating with workshop and therapy session clients and participants.
- Maintaining accurate filing both physical and electronic.
- Data entry and updating records
- Managing supplies and inventory
- Processing invoices and expense reports as required
- Coordinating office logistics including maintenance and repairs
Required Skills and Qualifications:
- Strong verbal and written communication to effectively interact with various stakeholders.
- Ability to multi-task manage multiple deadlines and work efficiently with multiple assignments.
- Proficiency in MS Office Suite - Expertise in Word Excel PowerPoint and Outlook.
- Attention to Detail high level of accuracy in data entry and document management.
- Ability to handle sensitive information with confidentiality and discretion.
- Flexibility to adjust to changing priorities and work demands.
Education and Experience:
- Bachelors degree with minimum of 3-5 years experience as a Personal Assistant/ Back-office Executive or in a similar administrative role.
