Our client is seeking a proactive Administrative Assistant to support the daily operations of a fast-growing sales training company. In this role you ll work closely with the business owner to streamline systems manage client workflows and contribute to scalable growth. Youll also leverage AI tools like ChatGPT to enhance efficiency and support a high-impact mission-driven team.

Process invoices and manage billing workflows
Organize bookkeeping data for monthly reconciliation (data entry not full accounting)
Prepare briefs and documentation for client sessions and follow-ups
Export and organize client call transcripts into accessible folders
Draft professional client emails using AI templates and brand standards
Maintain organized digital filing and communication systems
Support client onboarding with detailed facilitator briefs
Help improve and document operational processes
Provide high-level administrative support to free up leadership time
Anticipate needs and take initiative across business operations
Excellent written and verbal English communication skills
Strong background in admin support data entry and organization
Comfortable using AI tools like ChatGPT
QuickBooks experience preferred for bookkeeping tasks
Highly proactive and self-motivated with strong attention to detail
Tech-savvy and open to learning new tools
Experience working remotely and independently
Prior experience as a virtual assistant or administrative support role preferred
