ASSOCIATION EXECUTIVE DIRECTOR Salary Range: $85000-$100000 GENERAL SUMMARY As the Executive Director you will serve as the chief staff officer for the Etherio Client -Mile High SHRM- and be responsible for the board of directors for the overall administration and operation of the organization. The Executive Director advises and assists the boards in formulating and implementing strategies objectives and policies to advance the organizations mission. You will lead a designated staff team with the assistance of cross-functional centers of excellence to achieve the clients organizational goals. In this role you will provide direction and project prioritization and serve as the primary liaison with the clients Board of Directors. This position reports to a Vice President of the Etherio Association Management division and is accountable for achieving client objectives. ESSENTIAL FUNCTIONS Board Support and Governance - Coordinate communications with the Board and Executive Committee including agendas calendars meeting logistics and follow-up requests.
- Ensure proper documentation and fulfillment of executive and board requests.
- Manage board meeting logistics documentation and reporting.
Financial Management - Provide data and insights for budget preparation and monitor organizational spending.
- Track code and process all expenditures and receivables.
- Invoice sponsors and partners; manage billing coding (deferred revenue credit card and checking accounts) and prepare monthly reports for accounting.
- Collaborate with accounting and leadership to deliver accurate monthly financials; compare actuals to budget in partnership with the Treasurer.
- Set up and manage quarterly Finance Committee meetings.
- Upload financial documents to shared platforms (e.g. Basecamp) and support year-end tax preparation.
Programming and Events - Manage all logistics and setup for annual conferences and significant events including contracts vendor negotiations and communications.
- Oversee certificate preparation and coordinate volunteer engagement recruitment and program promotion.
- Lead internal reviews and improvements of programming processes.
- Coordinate with sponsors exhibitors speakers and volunteers and manage event documentation and reporting.
- Track analyze and promote sponsorship opportunities; collaborate on event marketing and support all related committee meetings.
Membership and Volunteer Coordination - Provide support and guidance to membership and volunteer teams.
- Assist managers with program visioning development and strategic planning.
- Equip volunteers with tools and support focusing on engagement and retention.
Sponsorship and Affiliate Relationships - Act as a liaison for sponsors coordinating communications contracts and sponsor value delivery.
- Oversee billing and invoicing.
- Attend relevant external meetings (e.g. SHRM National) and manage special projects/partnerships.
Marketing and Communications - Oversee and support communications marketing plans benefit management and the deployment of eBlasts.
- Ensure cohesive messaging across website social media and external campaigns.
- Serve as the associations LinkedIn administrator.
Operational Management - Lead venue selection pricing negotiation and event logistics including AV layout food and beverage and dcor.
- Ensure timely vendor payments insurance coverage and compliance with organizational policies.
- Organize and document files on shared platforms and support new initiatives.
MINIMUM AND PREFERRED QUALIFICATIONS - Bachelors degree or equivalent experience
- Advanced degree and/or Certified Association Executive (CAE) highly preferred
- Association Management experience: 5 years or more preferred
- Strong strategic planning skills including program development and project leadership experience
- Demonstrate a sincere and inherent curiosity for the associations mission
- Strategic thinker receptive to new ideas and opportunities with the ability to drive results
- Hands-on budget management skills including budget preparation analysis decision-making and reporting
- Marketing experience with keeping and attracting new members in non-profit organizations
- Excellent oral and written communication and interpersonal skills including presentation skills and networking
- Experience with association management software preferred
WORKPLACE LOCATION REQUIREMENTS This position is hybrid (working as a combination of remote and Colorado in-office presence) as well as the possibility of being onsite at client and/or event locations. Colorado residency is required.
TRAVEL REQUIREMENTS Very limited travel
SCHEDULING REQUIREMENTS Requires flexibility in scheduling such as working evenings and weekends to meet clients events or company needs.
