DescriptionPittsburg State University is accepting applications for an Administrative Associate in the Student Success Center to serve as the primary contact for the Student Success Center. This position ensures smooth day-to-day operations and performs general office duties as needed.
Duties and Responsibilities
50% Administrative Support
- Provide administrative support for activities across Career Development First Year Programs Student Disability
- Services and the Academic Advising units within the Student Success Center.
- Monitor daily office operations and ensure proper procedures
- Collect organize and compose correspondence. Answer phones respond to email forward messages and
- schedule and confirm appointments
- Monitor departmental emails and chats
- Maintain confidentiality of records
- Schedule and make travel arrangements staff as needed
- Compile and submit departmental reports
- Coordinate correspondence to prospective students applicants and current students served by the
- department
- Oversee use of and submit maintenance requests as needed for SSP classrooms offices
- computers/tablets and equipment including scheduling of classrooms and conference rooms
- Monitor activity in required study hall for appropriate activities by student participants
- Order and maintain inventory for the Student Success Center as needed
- Monitor and update websites as needed
20% Office Management & Events
- Provide general support for Career Development Academic Advising First Year Programs and Student Disability
- Services
- Assist office staff as needed on specific projects and events including registrations
- Manage the front-end operations of the Student Success Center
- Order supplies for events including branded items for distribution to student and family participants and
- uniforms for staff following PSU brand guidelines
25% Budget
- Organize and prepare data and coordinate the day-to-day operational support for Career Development
- Pay invoices for Career Development through invoice scan
- Monitor and make all deposits for registration for Career Development events
- Maintain and reconcile monthly business procurement card transactions
- Run reports that track previous fiscal year expenditures and projections for future fiscal years. This task includes
- accurate record keeping and use of spreadsheets and budget software.
5% Other
- Perform other duties as assigned by the AVP of Student Success Center
Education and Experience
Required Education and Experience at Hire -
- High school diploma or equivalent.
- One year of experience in an office or administrative setting. Education maybe be substituted for experience as determined by the University.
Preferred Education and Experience -
- Three years in a customer service-related industry
- Three years of student supervision experience
- Experience in using general office software and processes specifically the Microsoft Office suite Oracle and Outlook

Salary Range: Grade 4 - $15.00 per hour

Work Schedule: Full Time Monday through Friday 8:00 a.m. to 4:30 p.m.
