Schedule: Monday Friday 8:30am 5:00pm / 37.5 hours per week (Some weeknights and weekends required)

Summary: The Department of Catholic Schools of the Archdiocese of San Antonio is seeking a dynamic and detail-oriented Recruitment and Outreach Manager to lead and support student recruitment efforts with a particular focus on families eligible for the Texas Education Savings Account (ESA) Program. The Recruitment and Outreach Manager will be responsible for increasing enrollment by identifying engaging and guiding prospective families through the application process to access approved educational-related funding through the Education Savings Account Program while representing our Catholic School mission values and academic offerings.


Position Responsibilities:

  • *Develop and implement a comprehensive strategic plan to expand access to Catholic faith-based education through the Texas Education Savings Account (ESA) including outreach enrollment growth community engagement and long-term sustainability goals.
  • *Serve as a primary point of contact and knowledgeable resource for families exploring enrollment in Catholic faith-based schools through the Texas Education Savings Account (ESA) Program and other tuition assistance opportunities.
  • *Educate prospective and current families on ESA program eligibility criteria application procedures documentation requirements and submission deadlines.
  • *Provide direct support to families during the ESA application process including assistance with gathering required documentation completing online forms and resolving application-related issues with the Texas Education Agency (TEA) or third-party vendors.
  • *Develop and sustain partnerships with community organizations churches homeschool networks and local agencies to increase awareness of ESA program benefits and Catholic school enrollment opportunities.
  • *Create maintain and utilize a database of prospective families for targeted outreach and student recruitment campaigns.
  • * Represent the Catholic school network at school fairs community gatherings and information sessions to actively recruit new students and share program offerings.
  • *Deliver clear effective presentations to diverse audiences demonstrating strong oral and written communication skills.
  • Liaise with Texas-based educational support organizations and state-approved vendors to ensure effective coordination and compliance with ESA program guidelines.
  • Collaborate with the schools Administration Admissions Development and Pastoral staff to create outreach strategies that highlight the schools mission and faith-based environment.
  • Maintain accurate records of inquiries applications and follow-up communications in a CRM or admissions database.
  • Monitor and track ESA application statuses and communicate updates to families and internal stakeholders.
  • Provide hands-on support to families in completing application forms for both the school and the state ESA program.
  • Prepare regular reports on recruitment efforts enrollment trends and access the impact of ESA program outcome strategies.
  • Stay current on and monitor all state regulations and policy changes related to school choice and tuition assistance programs.

Other:

  • Partner with the Marketing and Enrollment Manager to develop specific marketing plans (flyers brochures web content media promotional content) that explain the value of a Catholic school education and how families can access state funding.
  • Assists schools with obtaining and maintaining participation registration with the States third-party vendor that
  • administer the ESA voucher program.
  • Assists schools with a three-year enrollment projection forecasting model and analyze such data to make recommendations to minimize impact to unexpected budget deficits.
  • Maintain current knowledge of organizational policies and procedures federal and state policies and directives and current accounting standards as well as proposed legislation impacting school operational vitality and inform the Superintendent and Associate Superintendent of significant developments in these areas.
  • Develop and maintain a positive and professional working relationship with parents school administration and cohorts including the local state and national level.
  • Maintain open lines of communication and cooperative working relationships.
  • Adhere to safety training and protocols daily and takes precautionary measure to ensure the safety and well-being of self others.
  • Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information services rendered to clients donors names and gifts internal and external investigations or results of any investigations and financial information.
  • Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory.
  • Every employee is required to take a solution-oriented approach in their interactions and undertakings as well as being a team member that promotes collaboration and commitment to the Mission and Vision of the organization.
  • Performs other duties as assigned by the Superintendent or Associate Superintendent.

Requirements

Minimum Qualifications:


Education

  • A bachelors degree in education communications marketing or a related field with equivalent experience.

Experience

  • 3-5 years of prior experience in admissions outreach efforts recruitment sales or education.
  • Knowledge of Catholic School systems preferred.
  • Knowledge of state-funded tuition Education Savings Account programs and school choice policies is a strong plus.

License and Credentials

  • Reliable transportation
  • Valid driver license
  • Valid vehicle insurance

Minimum Knowledge and Skills:

  • Proven ability to complete or oversee the completion of all reports and analytical data required by the State and the Department of Catholic Schools using time management skills to meet strict deadlines.
  • Ability to develop internal control guidelines for student enrollment verification and online payment management.
  • Ability to administer the enrollment processes in conformity with the adopted policies of school regulations.
  • Working knowledge of federal and state laws impacting the school tuition Education Savings Account program as well as proposed legislation impacting operational vitality and school management developments by attending conferences and other professional development activities
  • Strong skills in Excel and other Microsoft applications.
  • Previous experience using FACTS system preferred.
  • Must be detailed oriented organized self-motivated work well independently and on a team.
  • Must have excellent communication (oral and written) and interpersonal skills for presentations and public speaking occasions.
  • Spanish bilingual proficiency preferred.
  • Must have strong analytical critical thinking and problem-solving skills.
  • Always maintain confidentiality.


Travel Requirements:

Travel requirements for the position includes 50% local and less than 1% overnight stays.
