Location:KnneritzstraeLeipzig Germany
Contract:part-time (20h/week) initially fixed-term for 2 years followed by the option of a subsequent employment contract with an infinite duration

The Administrative Assistant is responsible for organisational and administrative tasks in the school office of the Secondary School. Responsibilities include scheduling appointments handling incoming and outgoing correspondence mail distribution maintaining files and records and performing data entry. The Administrative Assistant ensures that the school day runs in an orderly and organised manner.
Your tasks and responsibilities
  • Handling the school office management and day-to-day operations such as incoming and outgoing phone calls and mail correspondence
  • Assisting staff members parents and guests; addressing all their inquiries
  • Assist in the organisation of school events (e. g. information and parent evenings school enrolment graduation charity) and make all relevant bookings
  • Update of school information management system planners curriculum documentation etc.
  • Provide office support for the organisation of field trips PD trips sports tournaments and visiting speakers
  • Active participation in the weekly section meetings and involvement in the coordination of all organisational and developmental measures of the section.
  • Liaising with the school nurse regarding health issues
  • Maintaining Engage Parent Portal
  • Ordering maintenance and storage of office supplies
  • Taking daily attendance of staff and setting up statistical analysis.
  • Planning and administration of the schools internship programme planning and preparation of examinations (school) etc.
  • Organising cover and duty schedules and make arrangements for internal cover
  • Supporting the pedagogical staff and the head of department in the preparation and final review of school reports
Your profile
  • Qualification as an Administrative Assistant Office Management bilingual secretary or a related qualification
  • Excellent customer service skills
  • Friendly and positive with excellent interpersonal and intercultural skills
  • Solution-orientation and excellent communication skills
  • Able to quickly analyse situations and systems always looking to maximise efficiency and effectiveness in a rapidly changing work environment
  • Excellent time-management skills able to set and communicate about priorities
  • A high level of proficiency with MS Office especially Excel
  • Computer/Internet literate
  • Fluency in written and spoken English as well as German; additional languages are advantageous
  • Skilled at general organizing and administrative processes
  • Highly flexible during the work day and able to work in a dynamic environment
  • Able to remain calm and discreet in a busy environment
  • Experience of working in an internationally-minded and diverse school community is preferred
