Join our team as an Administrative Assistant 3 where you will play a pivotal role in supporting our VP and their direct reports in fostering a productive and engaging work environment. This dynamic role combines organizational expertise creative problem-solving and a passion for team collaboration.

Responsibilities

  • Schedule Management: Oversee the VPs calendar resolve scheduling conflicts and coordinate essential meetings in collaboration with other administrators.
  • Organizational Support: Assist the VPs direct reports in scheduling and coordinating meetings with the VP community.
  • Presentation Skills: Create compelling PowerPoint decks for townhalls and facilitate these team meetings to ensure attendees stay on schedule.
  • Organizational Management: Track and oversee recurring tasks such as timesheet tracking travel expense forecasts OKR reporting and employee engagement strategies.
  • Travel Management: Arrange travel logistics and manage day-of-travel adjustments including tracking and resolving flight delays.
  • Expense Reporting: Submit and manage expense reports efficiently.
  • Team Events: Plan teambuilding and volunteer events to enhance company culture and foster engagement.

Location:Preferred in Louisville KY; open to remote work; Work is in Eastern Time zone
Travel:Expected around 4 times per year

Skills & Qualifications

  • Technical Proficiency: Demonstrated expertise in Microsoft Office tools including Outlook PowerPoint and Zoom.
  • Attention to Detail: Requires robust organizational skills and meticulous attention to detail in order to anticipate scheduling or organizational issues with minimal supervision.
  • Team Collaboration: A strong passion for partnering with team members to improve productivity culture and engagement.
  • Confidentiality: Maintain discretion and confidentiality in all matters.
  • Education: Bachelors degree in Business Administration Public Administration or a related field is preferred.
  • Experience: Prior experience as an Administrative Assistant or Executive Assistant is essential with a minimum of 5 years in a similar role. Demonstrated experience in project management and strategic planning.

Work-At-Home Requirements

To ensure Home or Hybrid Home/Office employees ability to work effectively the self-provided internet service of Home or Hybrid Home/Office employees must meet the following criteria:

At minimum a download speed of 25 Mbps and an upload speed of 10 Mbps is required; wireless wired cable or DSL connection is suggested.
Satellite cellular and microwave connection can be used only if approved by leadership.
Employees who live and work from Home in the state of California Illinois Montana or South Dakota will be provided a bi-weekly payment for their internet expense.
Humana will provide Home or Hybrid Home/Office employees with telephone equipment appropriate to meet the business requirements for their position/job.
Work from a dedicated space lacking ongoing interruptions to protect member PHI / HIPAA information.

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills knowledge experience education certifications etc.
