NMILC has an immediate opening for a Data Specialist. The Data Specialist will utilize Legal Servers full potential to deliver user-friendly efficient work flows and automate data entry processes. Broadly they will be expected to have or quickly obtain power user level expertise in the LegalServer Case Management system and be well versed in configuring the system and pulling accurate data. They will monitor closely program staff data entry to ensure accurate grant billing endeavor to increase efficiency of work processes related to data collection and analysis and promote best practices related to data hygiene. The Data Specialist will also trouble shoot Legal Server issues for NMILC staff and volunteers across all of our offices. This position will have a big picture view of the organization and how the LegalServer database interacts with programs and the grants and finance departments and report to the Director of Grants Data and Compliance. Hybrid arrangement with some in-person office work preferred but entirely remote position is possible for this position.
Responsibilities will include:
Database Administration
- Optimize NMILCs usage of Legal Server by working in collaboration with program staff to build customized intake forms and other casework forms to improve efficiency accuracy and thoroughness of data collection.
- Build reports in LegalServer according to users request for information.
- Troubleshoot users programs with LegalServer and escalate to develops if needed.
- Maintain and update LegalServer configuration for purposes of grants and programmatic requirements and implement and educate staff on changes to the system as needed.
- Serve as primary liaison with LegalServer for requesting support add-ons etc.
- Follow updates to LegalServer system and alert team members about new developments that could improve NMILCs usage of LegalServer
Reporting and Collection
- Assist with quantitative elements of reporting for program grants and internal analytics including soliciting data input from program staff conducting data clean up and inputting data from LegalServer into required grant forms.
- Complete designated grant reports as assigned by Director of Grants and Data.
- Build and monitor quality assurance reports to routinely identify data errors and either correct those errors or work with program staff to correct them.
- Train volunteers to conduct data entry and data clean up tasks
LegalServer Timekeeping Data Tracking and Compliance
- Review staffs time entry in LegalServer on a bi-weekly basis to ensure accuracy of total time logged.
- Review all staffs time allocated to grants and contract to ensure compliance with grant eligibility guidelines and ensure staff have billed the correct amount of time on their assigned grants.
- Monitor billed time for incorrectly logged activities and provide prompt feedback or corrections.
- Train new hires on how to use LegalServer timekeeping functions and provide ongoing assistance for questions from staff.
- Complete LegalServer data for billable hour contract invoices.
Qualifications:
- High school diploma required. Undergraduate degree preferred.
- Prior work experience with case management database administration and/or technical support.
- Ability and willingness to learn LegalServer configuration; prior experience with LegalServer is a plus.
- Attention to detail and ability to complete projects involving repetitive and meticulous tasks.
- Must be comfortable providing feedback to colleagues on timekeeping and data tracking and patient in providing explanations and troubleshooting.
- Ability to adapt quickly to new application or user interfaces.
- Ability to work on multiple projects in a deadline-oriented environment.
- Clear understanding of confidentiality and strong sense of professionalism.
- Strong communication skills and willingness to work with staff with a large spectrum of tech-saviness to understand and implement timekeeping requirements data collection protocols etc.
- Ability to input and track data and produce reports in a timely fashion as required by position funder and/or upon request from management.
- Basic to intermediate knowledge of Excel formulas; advanced formula knowledge or knowledge of macros a plus
- Knowledge of Microsoft Power Automate or similar tools for automating data clean up is a plus
- A passion for how superior data collection and analysis can further the execution of NMILCs mission and enthusiasm to improve the data and technology culture of the organization.
Compensation and Benefits:
This is a full-time position. Hourly rate is commensurate with experience. Starting rate is $24.00/hour.
