$4926.00 - $5473.00 Per Month ($59112.00 - $65676.00 Annually)

Position Summary

Under the general supervision of the Director of the Disability Programs & Resource Center (DPRC) the Program Services & Operations Coordinator (POSC AA/S - Non-Exempt) serves as the DPRC reception lead for analyzing and addressing problems for walk-in Zoom and phone inquiries; determines immediate need for student and employee appointments and other courses of action; supervises trains and manages DPRC reception-area student assistants; and covers the DPRC reception-area during regularly scheduled shifts over peak periods and during student assistant absences. The POSC independently assesses the need for office supplies and other non-IT purchases and works with reporting line to recommend and execute purchases with good fiscal stewardship. Tracks and leads programmatic updates of the myDPRC (AIM) database and coordinates DPRC note taking services. Coordinates the processing and maintenance of confidential student records and supports administrative functions of the DPRC. The Program Services & Operations Coordinator provides back-up support to other office programs as needed.

Position Information

DPRC Reception-Area Coordination Coverage and Appointment Support
  • Serve as primary coordinator of the DPRC reception-area. Duties include: analyze and address problems related to walk-in Zoom and phone inquiries; independently determine immediate need for all requested appointments including coordinating accommodations requested to participate in appointments and other courses of action; and consult with constituents related to departmental services during peak times;
  • Provide coverage to the DPRC reception-area at least 20 hours per week ensuring coverage is scheduled during peak office hours. This will require additional reception-area coverage at the open and close of each academic semester. In addition serve as primary back-up to the DPRC reception-area during unscheduled and short notice student employee absences;
  • Responsible for overseeing daily office opening and closing during public office hours and obtaining professional staff coverage when incumbent has pre-approved absences;
  • Hire and supervise student assistants each semester for DPRC reception-area coverage as well as develop and monitor a back-up coverage schedule;
  • Train student assistants on DPRC standard operating protocol policies initial appointment guidelines staffing/operational updates or changes reasonable accommodation procedures and good practices when interacting with people with disabilities. Ensure confidentiality of communication and information;
  • Regularly delegate and monitor student assistant tasks and general effectiveness. Provide regular feedback on student assistant communications and other information shared with the public as well as other aspects related to job performance;
  • Maintain effective working relationships with a wide range of students staff faculty and the public; andMaintain accurate information related to availability of appointments and resources for students.
Operations Coordination & Administrative Support
  • Primary coordination of the myDPRC (AIM) database programmatic calendar responsible for completing scheduled tasks such as updating semester codes mass archiving student profiles and reviewing applications to ensure timely follow-up. Serves as a member of DPRC myDPRC Steering Committee.
  • In consultation with reporting line coordinate certain purchase processes and requests up to and including office space design; assess the need for office supplies
  • Primary point of contact for requests for maintenance and dissemination of notices to all-staff from facilities building coordinator etc.
  • Oversee processing of student in-class note-taking requests and track successful note-taker/DPRC student matches and related data;
  • Directly recruit orient train and supervise and oversee timesheet reporting for Note-Taking Assistant (student employee) who assists with note taking administrative duties;
  • Coordinate priority registration accommodation eligibility for disabled students and incentive appointments for volunteer note-takers.
  • Coordinate access to and training for digital note taking platforms.
Confidential Records Coordination
  • Oversee processing of incoming confidential student records for entire office;
  • Oversee maintenance and archiving of confidential hard copy and electronic student files and facilitate processing of third-party requests for students records;

Other Duties as Assigned

Minimum Qualifications

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field
with a foundational knowledge of public administration principles practices and methods. This foundation would
normally be obtained through a bachelors degree and/or equivalent training and administrative work experience
involving study analysis and/or evaluation leading to the development or improvement of administrative policies
procedures practices or programs.
  • Working knowledge of general practices program and/or administrative specialty. Basic knowledge of an ability to apply fundamental concepts. Working knowledge of budget policies and procedures.
  • Ability to learn interpret and apply a wide variety of policies and procedures relating to and impacting the applicable program organizational unit and/or administrative specialty.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Ability to make independent decisions and exercise sound judgment.
  • Ability to compile write and present reports related to program or administrative specialty.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.

Preferred Qualifications

  • Experience working with people with disabilities;
  • Demonstrated ability to implement basic interviewing and advising techniques with students and employees with disabilities;
  • Experience with hiring and leading teams student employment and student supervision;
  • Working knowledge of database management (e.g. AIM) and standard office applications (e.g. email scheduling software Microsoft Office Suite etc.);
  • Demonstrated organizational ability especially related to managing daily operations and multiple priorities;
  • Previous experience with confidential record management and data collection;
  • Demonstrated ability to maintain effective working relationships with a wide range of students faculty and staff;
  • Working knowledge of Section 504 of the Rehabilitation Act of 1973 The Americans with Disabilities Act as Amended 2008 and/or California State University (CSU) policy on disability support and accommodations and all related technical standards.

Incumbent must be able to competently interact with a culturally and ethnically diverse population of students faculty and staffs. Incumbent must refrain from wearing scented products to ensure access for people with chemical sensitivities. Some evening and weekend hours will be required.
