As the Admitting Office Staff Supervisor you will be supervising and directing the daily activities of the admitting section of the Office of the Medical Examiner (OME) which includes data gathering recordkeeping and processing functions for internal and external customers. You will oversee a team of administrative professionals in a 24/7 operation and perform a variety of administrative support functions related to records management quality assurance and the creation of department policies for the admission and release of decedents to the office.

We Require
Three years of responsible administrative experience in a health care funeral home law enforcement legal or similar office environment
High school diploma or GED
Other combinations of education and experience may be considered in substitution for the minimum qualifications
We Also Value
Associates degree or higher
Prior lead and/or supervisory experience
Experience working or volunteering in a medical examiner/coroners office and decedents
Successful completion of college-level coursework in anatomy and physiology
Experience and working knowledge of CME (Coroner/Medical Examiner Database) and DAVE (Database Application for Vital Events)
Successful completion of a medical office assistant training program
Bilingual skills (read write and speak Spanish and English)
Job Contributions
Supervise and direct the daily activities of the Admitting section including directing workflow conducting performance management leading staff meetings payroll approval scheduling and staff selection processes
Assure section actions are in compliance with County policy procedures and guidelines and National Association of Medical Examiners (NAME) accreditation standards by developing and maintaining procedures and manuals for the admission and release of decedents communicating information to external agencies and other related functions
Oversee the training of newly hired Case Information Specialists and develop training guidelines and evaluations with the Lead Case Information Specialist
Perform quality assurance evaluations of data entry and develop related statistics and goals for staff
Oversee the assignment of cases not admitted to the office to the appropriate medical examiner
Prepare and monitor purchasing supplies for the unit
Function as a working supervisor by ensuring adequate coverage for all shifts including filling in for absences as necessary
Admit decedents to the OME by entering data into the automated case tracking system creating hard copy files to initiate case records weighing decedents and transferring decedents into the appropriate cooler
Release decedents from the OME by notifying funeral homes and/or families when decedents are ready for release entering data into the case management system and verifying personal property and remains are released according to established protocols
Receive screen and direct calls to the appropriate person or work area for a 24-hour phone line
Respond to inquiries concerning the status of the case from family members funeral homes law enforcement and other agencies. Document all calls in the call log of the case management system
Responsible for the maintenance of the electronic case board and reassigns cases as needed to the appropriate Medical Examiner
Act as custodian of decedent property during shift ensuring that it is secured and released with appropriate chain of custody paperwork
Act as custodian of evidence and release evidence to law enforcement
Maintain case files and records and route appropriately upon exam completion
Assist Donor Network of Arizona (DNA) as needed verify decedent identity document DNA activities and secure DNA property
Working Conditions
Ability to work closely with decedents and malodorous conditions
Sufficient strength and physical and emotional stability to work under adverse conditions. Requires the ability to push/pull up to 100 pounds and lift up to 75 pounds
Will be supervising 12 Case Information Specialists and 1 Lead Case Information Specialist
