PURPOSE STATEMENT
The Executive Assistant to the Superintendent provides high-level and confidential administrative support to the Superintendent of Schools and serves as a key liaison between the Superintendent the School Board district staff and the community. This position requires exceptional organizational communication and interpersonal skills along with the ability to handle sensitive and confidential information with discretion and professionalism.
ESSENTIAL FUNCTIONS
- Provide comprehensive administrative support to the Superintendent and School Board including calendar management meeting preparation travel arrangements and correspondence.
- Attend all school board meetings. Coordinate logistics and materials for School Board meetings including agenda creation meeting packets minutes and public notices in compliance with legal requirements.
- Revise update and maintain district-wide policy and procedures.
- Maintain confidentiality of verbal and written information executive sessions and bargaining information and correspondence.
- Maintain accurate records files and documentation related to the Superintendents office and district operations.
- Monitor timelines and deadlines for key initiatives and ensure timely follow-up on projects and tasks.
- Assist with district-wide communications including drafting and disseminating newsletters announcements and press releases.
- Screen calls and emails prioritize requests and determine appropriate responses or actions.
- Support the Superintendent in planning and executing special events leadership meetings and strategic initiatives
- Serve as the primary point of contact between the Superintendent and internal/external stakeholders.
- Respond to questions regarding general district operations e.g. school attendance boundaries open enrollment community requests to post information in schools or other pertinent district-wide questions and requests.
- Possess a working knowledge and operate complex software and data systems and computer programs.
- In the absence of the Superintendent assure that information is transmitted to the Assistant Superintendent acting on behalf of the Superintendent.
OTHER FUNCTIONS
- May serve on various district committees and/or departmental work teams.
- May participate in an outside service organization as part of role.
- Perform related duties consistent with the scope and intent of the position.
- Provide clerical and administrative support to the Director of Communications.

MINIMUM QUALIFICATIONS
Education and Experience
- High School Diploma or GED; college degree preferred.
- Minimum 5 years of experience in a senior administrative or executive assistant role preferably in an educational or public agency setting.
Knowledge Skills and Abilities
- Skill in effective oral and written communication and highly effective customer service skills.
- Ability to plan organize prioritize and complete tasks; exceptional organizational skills.
- Confidence with meeting the public flexibility to handle numerous interruptions and strong telephone skills.
- Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other productivity tools.
- Knowledge of accounting/bookkeeping principles knowledge of budget and expenditure monitoring.
- Ability to format and compose complex correspondence and documents.
- Ability to produce accurate records and reports.
- Ability to establish and maintain effective working relationships with the board of directors co-workers other district staff administrative team and the public.
- Required to maintain confidentiality.
- Ability to set up and maintain accurate filing and retention systems.
- Ability to work independently manage multiple priorities and adapt to changing needs.
- High level of discretion integrity and professionalism when handling confidential matters.
- Familiarity with school board governance educational terminology and public meeting laws (e.g. Brown Act) is a plus.
Licenses/Special Requirements
- Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation abuse injury or neglect of a minor.
- Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
TERMS OF EMPLOYMENT
