Job Responsibilities

Fleet Shop & Maintenance Coordinator
The Department of Administrations (Admin) Division of State Agency Support Services is seeking a Fleet Shop & Maintenance Coordinator to join the team. State Fleet is responsible for centralized oversight of a comprehensive statewide fleet management program of all state-owned fleet vehicles for the state of SC.In this role you will conduct reviews of State-owned maintenance facilities and vendor maintenance facilities participating in the Commercial Vendor Repair Program (CVRP) to ensure compliance with the program criteria of the Maintenance Facility Certification Program. Provide administrative support to the Commercial Vendor Repair Program (CVRP).

Responsibilities of theFleet Shop & Maintenance Coordinator:
  • Under general supervision of the Maintenance Manager manage and conduct annual reviews of State-owned maintenance facilities to ensure compliance with the program criteria of the Maintenance Certification Program as specified in the State Fleet Management (SFM) Policy Directives.
  • Travel throughout the State to review procedures documentation and shop practices to ensure compliance with program requirements. Provide written reports on facility reviews to the Compliance and Analysis Manager.
  • Coordinate annual vendor agreements enter information and file agreements. Assist CVRP team and manager in all areas of vendor relationship management clerical matters and problem resolution.
  • Assist with processing and distributing vehicle safety recall notices SFM receives from vehicle manufacturers. Identify the vehicle the recall notice applies to and the agency that owns the vehicle. If the vehicle is owned by State Fleet Management the leasing agency must be notified.
  • Ensure accurate payment to vendors by comparing invoices to purchase orders and verify prices reflect vendor agreement prices.
  • Assist with the coding of invoices to ensure the vendors are paid in accordance with the CVRP agreements.

Minimum and Additional Requirements

  • A high school diploma and work experience directly related to the area of employment. A bachelors degree may be substituted for the needed experience.
  • Must possess a valid South Carolina Class D drivers license.

  • The ability to handle workplace stress and maintain a positive and professional attitude.

Preferred Qualifications

  • One year of experience in an information management system with preferred understanding of FleetWave.
