KEY JOB FUNCTIONS:

  • Assists Hotel Leadership with Sales for HGI
  • Obtains initial inquiry information from prospective customer calls for follow up. Initial handling of customer walk-ins and quoting/closing business as approved by GM.
  • Prepares customer sales agreements (with appropriate approvals) and sends to customer and owns the process from start to end.
  • Administers all group billing after event and sends thank you emails Fast Pay commissions rebooking information etc.
  • Ensures Caesars corporate has the final billing report and any other information needed to close out on the Caesars side.
  • Ensures customer files and documentation is maintained at all times.
  • Becomes proficient in utilizing lodging management systems for both Hilton and Caesars as well as Point of Sale (POS) systems such as InfoGenesis. (Primarily Hilton focus)
  • Ensures Caesars room blocks are held and updated weekly
  • Consistently meet with Yield Management team to discuss inventory for casino vs sales currently booked.
  • Arrange required site inspections and meetings with clients on site; work with Front Desk and Housekeeping for daily show rooms.
  • Coordinates guest requests including changes in requests with Hotel staff.
  • As necessary schedule and facilitate pre-arrival meeting with affected Hotel departments to discuss the group resume special needs special requests etc.
  • Responsible for being on-site contact for all groups checking in & ensure they experience the Hilton Sales Experience per brand standards including start of banquet events to ensure guest satisfaction.
  • Partners with F&B as well as Banquets teams depending group needs etc.
  • Creates welcome letters/signs for Front Desk/Banquet doors ensuring Front Desk has rooming lists BEOs etc for all groups arriving.
  • Manage HGI social media accounts as well as utilize social media and internet optimization to generate leads and bookings.
  • Assists with Stay Experience and Guest Assistance survey responses
  • Proactively handles guest issues during the stay prior to survey feedback
  • Other duties as assigned.
  • Complies with and upholds company expectations including Code of Commitment policies procedures industry regulations department goals and business strategy.
  • Presents oneself as a credit to the Company and encourages others to do the same.

EDUCATION and/or EXPERIENCE:

  • College degree or equivalent experience preferred but not required.
  • Previous service industry experience with administrative or coordinator responsibilities.
  • Sales experience involving a contract booking procedure a plus but not required.

QUALIFICATIONS:

  • Excellent written and verbal communication skills with the ability to professionally interact with clients Hotel staff and government officials.
  • Organizational/time management skills with the ability to successfully multi-task assignments.
  • Understanding of sales contracts and experience in rate negotiations.
  • Experience with Word Excel and sales management software.
  • Experience in writing and administering sales related contracts.
  • Use of social media outlets and applications.
  • Ability to think independently in making decisions to maximize customer service experience and profitability.
  • Must be a self starter and motivator and capable of working at times without constant direction.
  • Must be able to listen and respond to visual and aural cues.
  • Must have a systematic and process oriented mindset to ensure seamless end-to-end customer experiences.
  • Ability to respond calmly and make rational decisions in stressful situations with co-workers guests and vendors.
  • Physically mobile with reasonable accommodations including ability to push pull carry and lift up to 25 lbs. and the ability to push pull reach bend twist stoop stack crouch kneel and balance when performing job duties in varying work areas such as confined spaces.
  • Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business.

WORK ENVIRONMENT:

  1. Must be able to work in a fast paced environment.
  2. Must be able to work in areas containing dust second hand smoke varying noise and temperature levels lighting vibration crowds and air quality.
  3. Must be flexible with schedule including nights weekends and holidays as required. Will be subject to call 24 hours in case of emergency or facility need.
  4. Will be required to travel once a year for Hilton Sales training.
