Job Description

Position: Payroll and Compliance Specialist
Department: Executive & Administration (Finance)
Location: Alpharetta Georgia
Reports To: Controller


Job Scope and Accountabilities:

Kahua is seeking a detail-oriented and experienced Payroll and Compliance Specialist to join our team. The ideal candidate will manage payroll ensure compliance with regulatory requirements and contribute to general accounting functions. This role requires a strong payroll processing and accounting background attention to detail and the ability to manage multiple deadlines and priorities effectively.

Key Responsibilities:

Payroll:
Accurate and timely processing of semi-monthly payroll for U.S. and Canada
Understanding of payroll processing procedures and best practices
Ensuring compliance with federal state and local payroll regulations for multiple jurisdictions
Administration of benefits deductions garnishments and tax calculations
Retirement plan (401k) calculations deductions and funding
Maintaining payroll records and responding to employee inquiries
Working closely with a Global provider for international employees

Compliance:
Familiarity with payroll tax regulations at federal state and local levels
Expertise in payroll tax filings and reporting (e.g. 941s W-2s 1099s and other regulatory documents)
Experience working with federal state and local tax agencies for multiple states
Ensuring accurate 401k plan data and compliance
Staying updated on changes in regulations and laws

Auditing and Reporting:
Conducting internal audits of payroll data to ensure accuracy
Generating reports for management accounting and external audits
Identifying and implementing improvements to payroll and accounting processes to enhance efficiency and accuracy
Maintaining accurate documentation of accounting processes and internal controls

Collaboration:
Working closely with HR and other departments to ensure smooth payroll and compliance processes
Employee Support addressing payroll-related inquiries as well as understanding their pay taxes and benefits deductions

General Accounting:
Assisting with month-end close processes as needed including journal entries and account reconciliations
Preparing accurate and timely reports
Supporting internal and external audits by providing requested documentation and reports
Providing support for special projects and ad hoc financial analysis as needed


Experience Required:

A minimum of 3 years of accounting experience with a focus on payroll and compliance (preferred)
Highly proficient in payroll software (Paycor ADP or similar systems)
Strong knowledge of Payroll Tax
Proficiency in HRIS (ADP Bamboo Paycor etc.)
Strong knowledge of U.S. Generally Accepted Accounting Principles (GAAP)
Proficiency in accounting software (NetSuite Quickbooks or similar systems)
Advanced Excel skills


Education/Professional Qualifications:

Bachelors degree in Accounting and/or relevant work experience

Interpersonal & Problem-Solving Skills:

Exceptional organizational analytical and problem-solving skills
Ability to identify and resolve discrepancies in payroll data
High attention to detail and accuracy in handling financial data
Ability to explain payroll issues to employees clearly and professionally
Ability to meet tight deadlines for payroll cycles and tax filings
Ability to work independently and collaboratively in a fast-paced high growth environment

Ability to work on-site in our Alpharetta office
