Salary Range: $21.17 - $25.62/per hour

ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES:

  • Provide guidance and direction to the Unit Clerks under the direction of the Nurse Executive. Ensures that the organizations strategic plan mission vision and values are communicated to the team and integrated into the teams strategies goals objectives work plans and work products and services.
  • Under the direction of the Nurse Executive assist the Unit Clerks in administrative functions within the scope of practice for the Lead Unit Clerk to ensure timely care of patients within the Primary Care Clinic.
  • Articulate and communicate to the team information concerning assignments projects actionable events milestones and/or program issues under review and deadlines and time frames for completions necessary.
  • Guide the team in the selection and application of appropriate problem solving methods and techniques provide advice on work methods practices and procedures and assist the team and/or individual members in identifying the parameters of a viable solution.
  • Identify training needs of the team and provide recommendations for specific administrative or technical training necessary for accomplishment of tasks.
  • Obtain resources and secure needed information to make decisions on major work problems and/or issues requiring administrative approval.
  • Maintain a professional caring attitude when dealing with patients their families hospital health care providers and other departments.
  • Maintain professional knowledge and proficiency in selected specialty area knowledge and practice through continuing education to include: Unit specific certification continuing education credits staff meeting attendance and attendance of outside and in-house workshops.
  • Capable of managing data systems to aid in annotation of data on high-risk chronically ill patients in Primary care including but not limited to oncology and Hepatitis C patients.
  • Coordinate a variety of administrative clerical support activities in order to facilitate and expedite the administrative and clerical priorities within the Care Coordination team Unit Clerk team and Primary Care Clinics.
  • Work independently or in teams on special projects (i.e. quality improvement) nonrecurring or on-going projects. Take and transcribe minutes as assigned.
  • Assist providers with faxing and receiving documents scheduling outside appointments for patients and obtaining records related to patient visits at other facilities for follow-up purposes.
  • Input patient information into the electronic data system to generate a visit record for the patient.
  • Process requests for Health Information Management (HIM) utilizing the electronic data system.
  • Record and maintain an accurate record of pertinent patient information in the system.
  • Input visit specific data into the electronic data system for each patient.
  • Verify completeness of visit records ensuring adherence to required established standards prior to visit record being forwarded to HIM.
  • Function as telecommunication expert and coordinator to ensure effective departmental communication.
  • Organize monitor and display daily call schedule for all specialty and ancillary services.
  • Process and forward consultation requests submitted for the patient.
  • Perform or actively facilitate faxing of appropriate documents and records to other facilities or medical providers.
  • Ensure compliance with Privacy and HIPAA standards.
  • Communicate and coordinate with Managed Care to ensure quick and accurate adherence to transfer protocols and processes.
  • Assist with compiling an accurate and complete record of transfers.
  • Process departmental mail and route correspondence to the appropriate individual.
  • Operate problem solve and organize department copier.
  • Actively participate in departmental Quality Assessment and Performance Improvement Program.
  • Record and maintain daily census and acuity records.
  • Record and maintain disease specific or visit specific records.
  • Input and maintain requests for maintenance repairs into the electronic system.
  • Input maintain and coordinate requests for Bio-Med repairs.
  • Assist with orientation of new staff.
  • Capable of working rotating shifts weekends and holidays as assigned to ensure continued operation of department.
  • Maintain active current American Heart Association certification in Basic Life Support for Healthcare providers at all times without lapse of certification.
  • Organize inventory order and maintain clerical supplies forms and other documents needed for the unit.
  • Capable of ordering and receiving administrative supplies and supplementary patient care
    delivery supplies.
  • Utilize electronic ordering system.
  • Capable of independently completing required documents for ordering materials newly identified as being needed.
  • Adhere to established Hand Hygiene standards.
  • Adhere to Universal Precautions and Infection Control Standards.
  • Ensure safe and accurate processing of all documents.
  • Report safety issues or concerns to Safety Officer or Security and to the Nurse Executive.
  • Responsible and accountable for ensuring completion of or attendance at required annual
    mandatory training.
  • Assist promote and support compliance with established CMS standards.
  • Performs other duties as assigned.

MANDATORY MINIMUM QUALIFICATIONS:
Experience:

Three (3) years experience in a clerical position in a healthcare setting.

Education:

High School Diploma or Equivalency (HSE).

Certificate:

Valid American Heart Association (AHA) certification in Basic Life Support (BLS) and maintain certification.
