Job Description

High Point Universitys Graduate Student Accounts Coordinator position is responsible for maintaining all graduate/health profession students in order to facilitate the invoicing and collections of tuition statements. This will include monitoring their account balances and sending past due notices as needed as well as working with the Director and Associate Director to collect on accounts that are severely past due when needed. This position will also be responsible for assisting in the coordination of graduate student health insurance charges graduate monthly payment plans graduate financial aid disbursement semester billing and graduate refunds. This position will handle adjusting individual graduate student accounts as needed. This position will assist in other office functions are requested including undergraduate account items.

QUALIFICATIONS:

Education Experience and Training:

  • Bachelors in related discipline preferred or equivalent experience preferred.
  • Associates degree or equivalent experience required.
  • Minimum 2 years related experience including customer service accounts payables/receivables or similar required.
  • Demonstrated experience with data processing and the use of web-based technology.

Knowledge Skills Ability:

  • Ability to understand analyze and interpret financial information
  • Analytical and problem-solving skills
  • Strong ability to multitask frequently
  • Ability to work confidently and competently under tight deadlines and flexibility to adjust to changing priorities while working in a fast-paced environment
  • Knowledge and ability to use Microsoft Office at an intermediate level for Word and Excel
  • Effective oral and written communication skills
  • Competent to learn and utilize multiple information systems
  • Strong interpersonal skills cultural awareness and ability to work effectively with internal and external customers
  • Ability to appropriately handle confidential information

ESSENTIAL FUNCTIONS:

  • Communicates with graduate students to provide effective customer service researching and appropriately responding to inquiries regarding their student account or billing statements addressing account details and due dates providing information regarding University policies and procedures and other related issues
  • Maintains a current roster of all graduate students including the program of study number of credit hours and the anticipated graduation year for health professions
  • Monitors delinquent accounts for current graduate students and coordinate past due collection efforts
  • Coordinates the billing of all graduate and health profession students enrolled each semester including verification that all tuition costs are accurate with the Director
  • Monitors and updates the Graduate Student Accounts website as needed
  • Coordinates with the Graduate Financial Aid counselor(s) to confirm that all forms have been received and aid is awarded in a timely manner
  • Prepares graduate files to submit to the Data Analyst for statement uploads on Friday
  • Coordinates directly with directors of graduate programs to facilitate specially run programs and update Director with any issues
  • Documents communications and account changes using departmental software
  • Collaborates and strategizes with Director to solve streamline and strengthen internal processes for graduate students
  • Manages all communication and documentation related to graduate students
  • Explores procedures to improve efficiency cost-effectiveness and/or improve internal and external customer service
  • Develops information system documentation to support efficient Student Account operations regarding graduate students and prepare reports written findings and recommendations
  • Tracks and fully documents any changes for functional and business specifications regarding graduate student functions
  • Represents HPU and our department at graduate student orientations
  • Assists in other office functions as needed during high volume periods

ACCOUNTABILITY:

  • Assists with the billing and collection process to meet budgetary requirements of the university
