Job Description

Payrate: $20.26 - $25.77 an hour

Catholic Charities of Baltimore is currently seeking an Accounts Payable Specialist who will perform general accounting and analytical functions related to Accounts Payable and Cash Receipts. The hybrid schedule is 3 days in the office / 2 days at home. The work schedule is Monday Friday 8:00am-4:00pm.

JOB DUTIES & RESPONSIBILITIES:

  • Process invoices check requests employee expense reimbursements credit cards and other documents using the Agencys General Ledger and Accounts Payable document imaging and workflow software in accordance with departmental policies and procedures ensuring accuracy timeliness and completeness.
  • Scan and review invoices and payment requests for proper supporting documentation coding and authorization.
  • Resolve documentation coding and authorization issues with program accountants or program personnel as needed.
  • Set up new vendors and obtain W-9 information. Ensure adherence to 1099 requirements including verification of Tax Identification Numbers and correct labeling of vendors.
  • Respond timely to vendor and internal inquiries in order to resolve questions and issues; document follow-up efforts; pursue questions and issues until resolved.
  • Research problems with payments to vendors such as past due balances missed payments account credits etc.
  • Process and maintain files for cash receipts check deposits and incoming credit card payments and post cash receipts into the general ledger.
  • Analyze vendor account balances and activity follow-up on unclaimed/uncashed checks and prepare journal entries as needed or required.
  • Perform other duties as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS:

  • A.A degree.
  • Two years of experience or equivalent combination of education and experience.

REQUIRED SKILLS & ABILITIES:

  • Excellent relational skills with courteous demeanor toward staff clients and visitors.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work with minimal direction or supervision.
  • Ability to act with discretion and professionalism in all situations.
  • Requires the ability to utilize computer systems and software necessary to perform position functions. Basic Windows PC web browsing (i.e. Chrome Internet Explorer etc.) Microsoft Outlook Excel Word PowerPoint Teams and/or Box.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:

  • Sedentary work that primarily involves sitting/standing.
  • Remaining in a stationary position often standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists hands and/or fingers.
  • Assessing the accuracy neatness and thoroughness of the work assigned.
