The incumbent plays a key role in the management coordination and development of undergraduate academic programs within the Faculty. This position requires in-depth expertise in academic administration as well as a nuanced understanding of the pedagogical and administrative needs of university programs. The incumbent ensures integrated management (leadership planning and coordination) of academic and administrative activities related to student records and will be responsible for developing academic policies optimizing enrollment processes and continuously improving the student experience.
In this role your responsibilities will include:
Academic Program Management: Supervise and coordinate undergraduate academic programs ensuring their alignment with strategic objectives of the Faculty and the University. Works closely with program Directors Professors teaching staff and departmental leads to ensure consistency and quality across curricula. As a member of various senior management committees handle complex and escalated complaint files such as Senate appeals cases from the Human Rights Office and the Ombudspersons Office in collaboration with the Dean and Vice-Deans to resolve issues and help define future strategic priorities based on in-depth analysis of these complaints.
Academic Integrity: Oversee activities related to academic integrity and serve as an advisor to the Vice-Dean of Studies academic units faculty members and students on issues related to academic integrity (academic fraud program evaluations requests for program changes or new programs).
Optimization of administrative processes: Oversee and act as an expert advisor in the processes of student admission registration evaluation and graduation ensuring their efficiency and compliance with institutional standards. Supervise logistical aspects related to program implementation including course offering planning scheduling room allocation academic calendar management and exam planning.
Student Experience: Under the leadership of the Senior Specialist Student Experience play a key role in the continuous improvement of the student experience by contributing to the development of initiatives that address students academic social and professional needs (e.g. orientation programs).
Leadership and team management: Supervise and lead a team of administrative and academic staff fostering a collaborative work environment focused on excellence and continuous professional development.
Inter-Faculty Collaboration and Representation: Serve as the primary point of contact for matters related to undergraduate academic programs both within the Faculty and at the University level. Participate in inter-faculty committees and working groups representing the Facultys interests in strategic and operational discussions.
What you will bring:
Bachelors degree in a relevant field.
A minimum of 7 years of experience in academic administration at the post-secondary level.
In-depth knowledge of educational policies academic processes and regulatory requirements.
Proven team leadership experience with a strong commitment to staff professional development.
Excellent project management skills with demonstrated ability to manage multiple complex projects simultaneously.
Strong leadership interpersonal and communication skills with the ability to collaborate effectively with a variety of stakeholders.
Experience in analyzing academic records and interpreting university regulations and procedures.
Demonstrated ability to respect diversity and adopt inclusive behaviors responding with sensitivity and self-awareness to the unique needs of clients including visible and invisible dimensions of diversity.
Experience in developing and implementing strategies and business plans.
Experience in human resources management including team and conflict management.
Strong reasoning skills and critical thinking ability.
Advanced skills in the development and use of university information systems.
Extensive experience in communication and complex administrative writing in both official languages.
Bilingualism French and English (oral and written).

The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
Prior to May 1 2022 the University required all students faculty staff and visitors (including contractors) to be fully vaccinated against Covid-19 as defined in Policy 129 Covid-19 Vaccination. This policy was suspended effective May 1 2022 but may be reinstated at any point in the future depending on public health guidelines and the recommendations of experts.
