Job Description

Looking to make a difference in the lives of pets and people With an almost year-round beautiful blue sky and a scenic mountain backdrop HSPPR is a nonprofit animal shelter serving El Paso Pueblo and Douglas Counties as well as the City of Centennial. We employ a total of 200 employees. We are an organization that celebrates and prioritizes diversity and inclusion.

Job Summary

This position supports the Accounting Department in all areas by maintaining accounting principles practices and procedures to ensure accuracy with strict adherence to deadlines; addressing inquiries from other departments and resolving accounting or vendor problems. All departmental duties are to be handled in an efficient and timely manner always following confidentiality standards.

Additionally this position works with the City/County Emergency Support team in the event HSPPR CART is activated.

Key Duties and Responsibilities:

  • Lead processor of incoming mail team maintaining control procedures and distribution
  • Reconcile and prepare daily deposits for 10 departments maintaining control procedures
  • Prepare reconcile and run incoming checks for remote bank deposit process
  • Deliver daily deposits to bank on rotating schedule
  • Audit daily reconciliations and entries for 11 departments through digital process follow-up on discrepancies ensure documentation uploaded to network
  • Train and support staff as necessary on digital daily reconcilement process
  • Process Accounts Payables: Invoice verification coding entries reports check processing and mailing
  • Audit monthly vendor statements taking action as necessary within scope of position
  • Monitor Payables Email for invoices adding vendors to email list
  • Process employee reimbursements enter cash disbursements/journal entries and prepare report for Payroll
  • Update Approval Signatures as needed
  • Update termed employee information in accounting software
  • Maintain funds on postage machine
  • Maintain funds in Postage Due and Bulk Mail accounts
  • Perform month-end audits for all postage accounts
  • Backup for processing outgoing mail
  • Backup for maintaining department reconciliations current and balanced
  • Assist with month/year-end closing
  • Backup for Accounting Specialist 3
  • Act as lead in absence of both Manager and Accounting Specialist 3
  • Perform assigned Accounting Manager duties in manager absence
  • Perform other accounting duties or research as assigned by Accounting Manager
  • Assist Accounting Manager Controller and Director of Finance with projects as needed

Other:

  • Commitment to the mission values goals and success of HSPPR
  • Perform all other duties as assigned
  • * If activated serve as Emergency Support Functions (ESF) #11 Desk Representative at either City or County
  • Emergency Operations Center (EOC) serving as liaison between HSPPR CART shelter(s) and Command Staff.
  • * Attend EOC related City and County trainings including but not limited to completing courses 1)FEMA IS-100.B
  • and 2) IS-700.A and receiving certificates

Software Material and Equipment Directly Used:

  • Accounting Software (Abila/Sage preferred); Microsoft Office Bank Remote Deposit Software and Machine Dual Computer Monitors Copier Postage Machine Mail Opener

Physical Demands:

  • Sit or stand for long periods at a time and lift up to 25 pounds
  • Drive to bank for deposit delivery on bi-monthly basis

Schedule Requirements

  • This is a full-time onsite position. Mon - Fri 8:30am - 5:00pm.

Education/Experience Necessary:

  • High School Diploma (Some college preferred)
  • 2 years Accounting experience data entry administration customer service
  • 1 years Cash handling and balancing experience
  • Strong math and typing skills 10-key by touch
  • Understanding of Accounting Principles
  • Advanced software proficiency: Excel
  • Intermediate software proficiency: Accounting Word Outlook
  • Excellent attention to detail accuracy and documentation
  • Reasoning skills for interpreting and understanding instructions in all forms
  • Ability to read and interpret documents; write routine reports and correspondence
  • Ability to determine when to take necessary action within scope of job or seek assistance
  • Ability to recognize and resolve problems
  • Ability to work within set deadlines adjust pace to workload
  • Handle confidential information
  • Good communication skills
  • Ability to work independently
  • Multi-task and handle interruptions
