Job Description

Job Summary:

Manages all Engineering Manufacturing Engineering Quality and Compliance documents necessary to ensure conformance to stakeholders requirements. Maintains filing systems and digital databases for all relevant departmental documents. Ensures that all users have access to the latest revision of appropriate documentation in a timely manner. Also provides a variety of administrative functions and clerical support to the Engineering Compliance and Quality functions (ensures equipment is maintained supplies are appropriately stocked creates and runs reports etc.).

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Examines documents such as drawings change requests specifications and forms to verify compliance completeness and accuracy.
  • Confers with document originators or liaison personnel to resolve discrepancies and compiles required changes to documents.
  • Posts changes to records releases documents updates OEM parts in ERP system and notifies affected departments.
  • Maintains databases of all filed documentation that ensures fast retrieval of documents.
  • Performs clerical typing duties to generate documents as necessary.
  • Provides documents upon requests.
  • Creates change documents (requests orders notices etc.).
  • Creates part numbers and enters part numbers and BOMs in ERP system.
  • Liaises with Procurement and other relevant stakeholders on BOM issues and reports.
  • Creates runs monitors tracks corrects and provides updates on various department reports (change process regulatory compliance part obsolescence time etc.).
  • Performs administrative tasks such as maintaining office equipment managing and preparing for visitors and preparing facilities for meetings.
  • Coordinates activities between departments and outside parties.
  • Contacts company personnel at all organizational levels to gather information and prepare reports.
  • Conducts light research analyzes data determines approach with some guidance compiles and prepares reports/recommendations.
  • Researches and collects part environmental compliance information and enters it into ERP system and/or database.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies etc.
  • Assist with different types (internal external ISO Regulatory) of audits (gathering documents answering questions on document control escorting auditors etc.).
  • Prepares other various reports and memorandums.

Education and/or Experience: High School diploma or general education degree (GED) is preferred. Typically requires a minimum of 2 years of related document control clerical and/or administrative support experience in a similar position.

Language Skills: Ability to read and comprehend simple instructions short correspondence and memos. Ability to write simple correspondence. Ability to present information in one-on-ones and small group situations to other employees of the organization.

Mathematical Skills: Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs. Ability to calculate figures and amounts proportions percentages area circumference and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills: To perform this job successfully an individual should have intermediate knowledge of database software MS Office including PowerPoint Publisher Outlook Excel Word and SharePoint applications.
