Job Description

*Hourly Wage Range - $26.62 - $32.65/hr

SUMMARY OF ASSIGNMENT

Under the direction of the Building Administrator this position is responsible for providing general clerical support to ensure efficient operation of the office or department. Responsibilities include data entry filing document preparation handling correspondence and assisting staff and visitors in a fast-paced environment.

ESSENTIAL FUNCTIONS

  • Perform routine clerical tasks such as data entry filing photocopying and scanning documents.
  • Maintain and organize student records transcripts and confidential files in compliance with district and state regulations.
  • Greet and assist students parents and visitors in a professional and supportive manner.
  • Respond to parent inquires.
  • Answer phones take messages and direct calls to counselors or other staff as appropriate.
  • Assist with scheduling student appointments with school counselors and manage the guidance office calendar.
  • Assist with the preparation and distribution of guidance-related communications (e.g. academic notices scheduling materials college and career resources).
  • Type operate office machinery and perform other clerical duties as assigned.
  • Train and supervise student office assistants.
  • Support the enrollment and withdrawal process by preparing necessary documentation and updating student information systems.
  • Track and organize student documentation related to graduation requirements testing and academic progress.
  • Collaborate with counselors administrators and teachers to support the academic and emotional needs of students.
  • Assist in the coordination of guidance office events such as parent nights college visits and student workshops.
  • Follow established procedures and school policies to ensure the smooth operation of the guidance office.
  • Assist with preparing reports in a timely manner.
  • Model appropriate and cooperative behavior including protecting confidential information consistent with district ethical guidelines.
  • Foster and maintain strong productive relationships with district employees parents students and other community members. Work with a variety of people in a positive manner.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

Education and Experience

  • High school diploma or the recognized equivalent (GED).
  • One (1) year of office or clerical experience.

Required Knowledge Skills and Abilities

  • Working knowledge of computer databases and proficient in word processing and spreadsheet applications.
  • Knowledge of general office procedures and practices.
  • Knowledge of the use of English and conventions of spelling capitalization and punctuation.
  • Knowledge of basic computational and record keeping skills.
  • Strong verbal and written communication skills.
  • Demonstrated ability to perform detailed work maintain records and logs with accuracy.
  • Ability to work under pressure meet strict deadlines and maintain established time schedules.
  • Ability to communicate effectively in a courteous and professional manner with staff students and community members from various backgrounds in person through email or via the telephone.
  • Ability to learn and apply District policies and procedures.
  • Ability to work independently and in a team environment.
  • Typing speed of 55 words per minute.
  • Must be organized and dependable.

Certification and Licenses

  • Background check and fingerprinting.

DESIRABLE QUALIFICATIONS

  • Clover Park School District secretarial experience.
  • Secretarial Professional Standards Certificate.
  • Type 60 words per minute accurately.

WORKING CONDITIONS

Daily work is performed in a school office. Requires sitting turning lifting objects using proper lifting techniques weighing 30 lbs. Must be able to use fingers hands arms legs vision hearing sit or stand for prolonged periods of time. Routinely requires dexterity and balance. Must be able to bend stretch twist walk reach carry push stoop crouch and hear. Exposures will include viewing VDT screens exposure to dust fumes and occasional noise.

FLSA: Non -Exempt AFFILIATION: ESPCP

JOB CLASS: Secretarial WORK YEAR: 210 days

*Internal candidates may be placed on a longevity step per corresponding collective bargaining agreement.

CONDITIONS OF EMPLOYMENT

Employment with Clover Park School District is conditional pending completion of a Washington State Patrol and Federal Bureau of Investigation fingerprint background check as required by RCW28A.400.303. (NOTE: All associated background check fees are the employees responsibility.) The fingerprint scan must be completed prior to the first day of employment.

Employees who are anticipated to work 630 hours during the school year (September 1 through August 31) are eligible for medical dental vision long term disability and basic life insurance benefits. RETIREMENT AND DEFERRED COMPENSATION
