Description

Position Summary

The Payroll Coordinator plays a vital role in supporting the payroll departments day-to-day operations and ensuring the accurate and timely processing of employee payroll. Reporting to the Director of Payroll this position helps ensure compliance with regulatory requirements and internal policies. The ideal candidate has strong attention to detail experience with Paycom or similar payroll systems and a collaborative spirit. Nonprofit experience is a plus.

Primary Responsibilities and Essential Functions of Position

  • Support full-cycle payroll processing including timekeeping data entry reconciliation and final submission.
  • Onboarding and review new hire data
  • Review and maintain employees accruals.
  • Collaborate with HR and Fiscal departments to ensure the accuracy of employee data.
  • Address and resolve employee payroll inquiries with professionalism and efficiency.
  • Assist in maintaining compliance with federal state and local payroll regulations.
  • Keep current with payroll law changes and help implement updates to policies and procedures.
  • Operate and maintain the payroll system (Paycom preferred) ensuring accurate data input and reporting.
  • Troubleshoot system-related issues and assist with software enhancements and updates.
  • Maintain payroll data via SharePoint.
  • Generate standard and ad-hoc payroll reports including tax benefits and labor cost reports.
  • Review and manage garnishments/levy.
  • Prepare reports and vouchers for benefit payments.
  • Support audits and internal reviews by preparing and organizing payroll records.
  • Maintain accurate up-to-date and confidential payroll files and records.
  • Assist with preparing payroll documentation required for compliance and audits.
  • Identify opportunities to improve payroll workflows and increase efficiency.
  • Participate in developing and implementing standard operating procedures and best practices.
  • Support payroll team initiatives and cross-functional projects.
  • Provide backup support for other payroll staff as needed.
  • Liaise with internal departments third-party vendors and government agencies as needed regarding payroll matters.
  • Ensure timely follow-up and resolution of payroll-related issues.

Qualifications

Qualifications

  • High school diploma or GED. Bachelors degree from four-year college or equivalent
  • Two to four years of experience in payroll administration; nonprofit experience a plus.
  • Excellent verbal and written communication skills.
  • Strong analytical and critical thinking skills.
  • Excellent organizational skills and attention to detail.
  • Strong supervisory and leadership skills.
  • Proficient with Microsoft Office Suite (specifically Excel) or related software.
  • Ability to work well under pressure and meet tight deadlines.
