Position Summary The Special Programs Coordinator reports to the Director of the Oklahoma Center for the Humanities and is responsible for managing its day-to-day operations while supporting other large-scale projects including the Switchyard Festival the fellows program and exhibitions at 101 Archer. This individual will work closely with faculty students staff community members and invited speakers to maintain an active schedule of public events manage campus budget/payment processes promote events and coordinate live and virtual events. This position is based at TUs 101 Archer facility; evening and weekend hours occasionally required. Essential Functions (Responsibilities): Manage a steady flow of contracts payments and budgeting in accordance with University systems and regulations for all aspects of OCHs operations. Work as part of a team to develop organize and execute diverse public events conducted both in-person and virtually including exhibitions First Fridays the Presidential Lecture Series Bob Dylan Institute activities and the annual Switchyard Festival. Produce written and visual content for social media accounts in support of both regular and special events. Work with the Director to oversee GAs interns and other student staff at OCH . Maintain public and private event calendars within the University and on web and social media. Provide administrative support to the centers director and other core staff and affiliates as needed. Greet and interact with diverse public audiences both at 101 Archer and through various digital and social media platforms Make travel arrangements for visiting speakers in accordance with University policies. Work with internal and external vendors to provide key services. Compose correspondence; route paperwork; create and maintain detailed files. Create and maintain meeting minutes. Coordinate with outside vendors (e.g. Rumbledrum) to oversee room scheduling catering cleaning maintenance and service requests from internal and external patrons. Proof and help edit internal and external reports as well as grant proposals. Assist with printing hanging and maintenance in public exhibition spaces. Assist with logistics and organization of the University Common Read program. Perform other duties as assigned.
Physical Demands
Moderate physical demands include the ability to move equipment and assist with gallery generally Monday through Friday adjusted to include Thursday evenings and some weekends.
Required Qualifications
Minimum Qualifications A Bachelors degree in the arts literature humanities or related field Knowledge/Skill/Ability Knowledge of various social media platforms and a commitment to develop skills necessary to advertise OCH events across multiple platforms. Basic knowledge of (or willingness to learn) TUs accounting and management systems as well as supporting policies. Strong analytical ability to interpret and use complex data logical and data-driven work style. Ability to multi-task efficiently in a fast-paced environment drive projects to completion and act with a sense of urgency. Extremely proficient with Microsoft Excel and familiar with Word PowerPoint and Outlook. Excellent verbal and written communication skills ability to communicate effectively with both internal and external partners. Ability (or willingness to learn) to create visual advertising for OCH -related events. A collaborative team player who can coordinate work effectively with employees team members and outside vendors. Ability to maintain a high level of confidentiality. High attention to detail demonstrated practice of establishing effective priorities and meeting deadlines. Strong customer service with a can-do attitude and strong interpersonal skills. Special Job Dimensions: Work requires working with highly sensitive or confidential information. Periodic weekend and evening work required to support OCH programs. Moderate physical demands include the ability to move equipment and assist with gallery installation.
Preferred Qualifications
A Masters degree in a humanities field; demonstrated experience in event planning preferably within the nonprofit/education sector; experience using digital task management systems to juggle multiple projects and deadlines simultaneously; demonstrated experience writing for social media platforms.
