JOB SUMMARY

Ottawa Public Library (OPL) provides accessible innovative library and information services throughout the City of Ottawa that meet the unique needs of diverse communities delivered through a range of vehicles and reflecting a citizen-centred approach.

You are responsible for ensuring the proper scheduling of employees and providing clerical/administrative support.

EDUCATION AND EXPERIENCE

Completion of Grade 12
Minimum of 5 years of clerical/administration related experience

KNOWLEDGE

  • Collective agreement provisions relating to hours of work overtime shift scheduling pay and benefits
  • Office and administration procedures
  • Shift scheduling processes and procedures in a complex organization
  • Relational database management systems
  • Working knowledge of SAP HR and FIORI and Time and Leave entry
  • Time sheet/leave forms processes
  • Knowledge of applicable health and safety legislation including the rights and duties of workers

COMPETENCIES SKILLS AND ABILITIES

  • Good organizational skills with ability to prioritize and multi-task
  • Attention to details
  • Ability to work independently and as part of a team
  • Advanced computer skills particularly in spreadsheet applications (Excel) and database management
  • Ability to apply Standard Operating Procedures General Orders policies procedures and collective agreements in day-to-day responsibilities

  • Capable of handling stress and short-time lines

  • Provide input to accurately transition employees schedules

  • Develop and maintain computerized processes relating to shift scheduling
  • Ability to follow established processes and guidelines related to shift scheduling
  • Liaise with staff in units across the branch and units outside the branch to ensure effective and efficient use of time
