The Support Professional manages the Dean of Students Office to ensure efficiency and office organization with an expert level of administrative support. This includes assisting the Dean with the development monitoring auditing and reconciling of the office budget specific grant budgets and review of direct report budgets as needed. This position routinely engages with students faculty staff and community stakeholders and must possess both a strong attention to detail and a broad understanding of GRCC policies processes practices and Raider values. This position is frequently assigned independent projects in alignment with office and departmental needs. These projects include gathering and compiling information from a variety of sources analyzing data and offering recommendations for the Dean and Directors to evaluate.

ESSENTIAL FUNCTIONS
- Provide an expert level administrative support to the Dean of Students standing committees and other groups as needed
- Operate an efficient office and act as liaison with other offices and departments campus-wide
- Utilize troubleshooting skills and excellent judgment to assist in conflict/problem resolution
- Perform general office duties by establishing and maintaining a variety of electronic and paper files (general and confidential); accurately update or assist with development of writing general correspondence; schedule meetings prepare meeting materials as requested and take effective meeting notes; accurately transcribe distribute and file accordingly; answer the telephone; and disseminate mail
- Greet and direct students visitors faculty and staff in a professional manner and help address questions and concerns
- Serve as the first point of contact for Deans scheduling needs and liaison with direct reports indirect reports and other college and community offices; maintain appointment calendar work schedules and critical timelines
- Manage division complaint management and customer service feedback system
- In collaboration with Dean of Students and other key campus stakeholders help plan and organize student retention initiatives communication campaigns (phone email text) and events. This includes but is not limited to room reservations scheduling food orders and creation of agendas and presentations.
- With the highest level of confidentiality and care manage the Emergency Assistance Fund. Receive applications process paperwork request checks follow-up with students. Track data and provide reports as requested. Coordinate fund balances with the Foundation office
- Back up for addressing Basic Needs Early Alerts raised in Navigate by faculty and staff
- Create and distribute semesterly newsletter for GRCC CARES Team
- Oversee Student Center 3rd floor Snack Pantry
- Help monitor and compile student retention and success data from a variety of sources and create accurate summary tables charts and graphs as requested
- Assist the Dean in the development monitoring auditing and reconciling of the office budget as well as monitoring specific grants assigned to this office
- Assist Dean with reconciliation of monthly procard charges
- Maintain discretion when dealing with sensitive and/or confidential information
- Assist with scheduling of students as requested
- Print transcripts schedules other documents from student information system (SIS) and assist students with class changes referring them to the appropriate offices as necessary
- Review direct report expense reimbursements and route forward to Dean of Students for final approval
- Assist in the design development and implementation of new or existing programs services or processes which lead to student success
- Independently prepare recurring reports and take appropriate action
- Assist in developing researching and implementing special projects
- Responsible for maintaining any applicable web pages
- Work closely with Deans and Associate Deans of Academic Schools as well as departmental and program faculty to assist in coordinating various student success programs
- Work with Deans and Associate Deans of Academic Schools in support of high school partnership work
- Exhibit a working knowledge of college departments and services available for students staff faculty and the community
- Recommend and request training programs and submit to the supervisor to stay updated and current on all aspects of the job
- Work with facilities faculty and staff as needed to identify and address building maintenance needs
- Participate as a member/ leader on teams/committees as requested or mutually agreed upon
- Collaborate with and assist other Student Affairs Success support professionals as needed/requested.
- This role is a Campus Security Authority (CSA). CSAs will be trained and responsible for reporting Clery Reportable Crimes to Campus Police as required by the Clery Act.
- Regular attendance during scheduled hours is required. Being present is essential for performing the essential functions of this position.

Education Credentials
Work Experience
- Minimum of three (3) years of secretarial or administrative assisting experience required
- Experience working in higher education preferred
Skills
- Must possess excellent skills in verbal written and interpersonal communications to work effectively with a diverse population and promote a spirit of inclusiveness
- Must possess an expert understanding and command of Google and Microsoft suites
- Position will be expected to learn and achieve an expert level of knowledge in student information system (SIS) student success management system customer relationship management (CRM) system and other software that is critical to the work of this office
- Ability to run enrollment payroll room and other reports in varying formats from the Student Information System and room scheduling software
- Demonstrated experience in prior departmental/school budget responsibilities
- Proficient Internet navigation skills to upload and download forms and reports to various State and Federal agencies as well as compile research information as needed for various projects
- Demonstrated initiative and problem-solving abilities
- Excellent organizational and prioritization skills and the proven ability to complete tasks in a timely manner
- Finalists will be required to complete an office testing module and meet minimum standards plus possess excellent proofreading skills and have aptitude for detail work. A skills assignment may be required.
