Job Description

InTulsa Initiative LLC is participating in the initiative known as Tulsa For You and Me which is a collection of Talent Attraction and Economic Growth programs building a vibrant and inclusive city through a booming economic landscape for Tulsa. Operated under the stewardship of the George Kaiser Family Foundation (GKFF) affiliated programs include nationally recognized and innovative organizations like Tulsa Remote LLC - Tulsa Innovation Labs LLC - inTulsa Initiative LLC - Build In Tulsa LLC - Atlas School LLC - Campus Tulsa and Tulsa Service Year among others.

PRIMARY PURPOSE AND FUNCTIONS

The Front Desk Attendant serves as the first point of contact at Tulsa For You Headquarters ensuring a welcoming and high-touch experience for all guests and visitors. This role is responsible for front desk operations guest hospitality and light administrative and facilities support. The ideal candidate is friendly approachable and enjoys creating a warm and professional environment for both visitors and staff.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Guest Experience & Front Desk Management

  • Greet and assist visitors with a professional welcoming demeanor ensuring they feel valued and supported.
  • Provide a high-touch guest experience directing visitors to appropriate spaces and assisting with general inquiries.
  • Monitor visitor check-in/check-out procedures including signing guests in and providing badges if required.
  • Proactively anticipate guest and staff needs offering thoughtful touches that enhance the overall experience (e.g. refreshments wayfinding signage room readiness).
  • Serve as the first point of contact for communicating and upholding community norms around space use shared resources and visitor conduct.

Administrative & Office Support

  • Ensure communal areas (like waiting areas or conference rooms) remain clean and stocked with materials.
  • Receive sort and distribute incoming mail packages or deliveries.
  • Receive and escalate office technology safety and facility concerns by reporting issues such as system outages unauthorized visitors or maintenance needs to the appropriate teams as they arise.
  • Coordinate light event and meeting logistics such as setting up conference rooms managing RSVPs preparing printed materials or liaising with catering vendors.
  • Maintain a strong sense of ownership over the front-of-house environment reporting patterns or gaps in office flow visitor needs or signage clarity to the operations team.
  • Support internal teams with basic administrative tasks as needed which may include scheduling assistance document preparation and task coordination.
  • Other duties as assigned.


Requirements

KNOWLEDGE EXPERIENCE AND SKILL REQUIREMENTS

Education & Experience:

  • High school diploma or equivalent required.
  • Prior experience in reception hospitality customer service or event support preferred.

Skills & Abilities:

  • Hospitality Mindset: Passion for creating a welcoming and professional environment.
  • Strong Communication: Ability to engage with visitors members and staff in a friendly and professional manner.
  • Tech-Comfortable: Able to use or learn tools like visitor management systems shared calendars internal communication platforms (e.g. Slack) or space booking tools.
  • Responsiveness & Follow-Through: Field requests and maintain clear communication across teams. Ensures questions and requests are answered in a timely manner and follows up thoroughly to close loops and support team needs.
  • Culture Contributor: Brings positive energy and a welcoming presence to the space; helps cultivate an environment where people feel supported connected and glad to be in the office especially through thoughtful daily interactions and attention to atmosphere.
  • Detail-Oriented: Notices the small things that create a polished professional atmosphere (e.g. refilling pens clearing clutter straightening signage).
  • Organizational Skills: Ability to multitask and stay organized in a dynamic environment.
  • Problem-Solving: Resourceful and quick-thinking in responding to guest needs and operational challenges.
  • Event & Facilities Awareness: Willingness to support events and ensure smooth logistics for guests.

Success in this role looks like: TFY staff and visitors feel welcomed and supported the front desk runs smoothly and the space reflects our values of people first professionalism and accessibility.


Hours & Location

  • This is a full-time role with approximately 40 hours per week based on business needs.
  • Typical work hours will be 8 hours a day Monday-Friday 9:00 a.m. to 5:00 p.m.
  • This is an in-office position located at Tulsa For You Headquarters in Tulsa OK.
