SUMMARY
This position reports to the Associate Superintendent of Business & Finance. As an integral team member of the Fort McMurray Public School Division the Finance Assistant provides support to the Senior Leadership Team Department staff and School Leadership Teams.

JOB DESCRIPTION
SUMMARY
Provide personal and confidential administrative support to the Associate Superintendent of Business and Finance. Duties include developing financial reports and presentations budget and financial variance analysis preparing meeting packages and doing project-based and some clerical work. Project a professional company image through in-person and phone interactions.
PRIMARY RESPONSIBILITIES
- Research and prepare reports briefings and materials for procedures publications letters and presentations.
- Reads and screens incoming communications/phone calls and reports; makes a preliminary assessment of the importance of materials and organizes documents; handles some matters personally and forwards appropriate materials to the Associate Superintendent or others.
- Maintain the Associate Superintendent of Business and Finances electronic and paper files calendar (flights/booking/confirming meetings and conferences).
- Create transcribe and distribute meeting agendas and minutes. (Note: some evening work).
- Acts as liaison between the Associate Superintendent subordinates or others by transmitting directives instructions and assignments and following up on the status of assignments. Updates the administrator or executive on the status of issues before scheduled meetings.
- Reviews proofreads and edits documents prepared for the Associate Superintendents or other executives.
- Coordinate project-based work including but not limited to budget variances insurance renewal and accident reporting.
- Takes calls related to transportation concerns handles routine requests and gathers background on other inquiries in the absence of the Transportation Coordinator.
- Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS - A College or Technical Institute Business Administration Diploma and or a Business/Commerce undergraduate degree and five to ten years of progressive Finance experience. Other education and experience may be considered.
- Excellent communication interpersonal and organizational skills setting priorities to meet deadlines and work plans.
- Advanced knowledge of Microsoft Excel and Word or Google Mail Docs and Sheets and telephone protocol. Computer literate with the ability to learn new software applications.
- Duties require professional verbal and written communication skills. Visibility of the work requires attention to detail excellent organizational skills and discretion with confidential information.
- Understanding of head office policies/procedures and organizational relationships.
- Excellent report writing from notes and source documents. (Experience with financial reports in Canva including charts and graphs would be an asset.)
- Experience and training in writing business communications minutes and briefings.
- Ability to make decisions where precedents may not be established.
- Ability to apply the overall mission of the Division to make administrative or executive support decisions.
- Ability to use diplomacy discretion and protect privacy when giving out information and referring and directing callers and visitors.
- Ability to perform mathematical calculations.
- Ability to follow apply interpret and explain instructions and/or guidelines.
- Work requires a willingness to work a flexible schedule and occasional overnight travel.
WORKING CONDITIONS Working conditions are normal for an office environment including but not limited to:
- spending hours sitting and using office equipment computers some light lifting of supplies materials and conference room furniture from time to time.
- The Finance Assistant will have to manage several requests and situations at one time while completing tasks within tight deadlines.
- Work may require occasional travel weekend and/or evening work.
EDUCATION - Post Secondary Certificate/Diploma/Degree in Business Administration with three to five years of progressive administrative support experience.
